Job Description

Job Summary

The post holder is responsible for working as a member of the Ireland Wood Eye Clinic in all aspects of their clinical and administrative activities. Together with the administrative team, the post holder should ensure that the interactions between patients and other visitors to the Practice and Practice Team are to the standards agreed.

Job Responsibilities

Running diagnostic tests and medical imaging, such as visual fields, retinal imaging and OCT scans

Assisting with minor operations

Dispensing of eye drops

Housekeeping duties including ensuring the waiting room area is tidy

Act as a chaperone support if required by doctors/optometrists

Provide clerical support for the Eye Clinic Doctors including recording clinical information, preparation of appointment list and preparing and sending appointment letters

Receive and transmit information on the telephone to the agreed practice standard, with particular reference to confidentiality

Maintain organised patient review bundles, including printing previous consultations, then marking, filing and/or booking as appropriate. (Also be mindful of age, physical ability and past medical history when choosing time slots. Annotate every appointment slot as instructed).

Communicating with patients by phone and letter (sent by email) to confirm appointment, sending out all relevant paperwork

Responsible for infection control within the Eye Clinic and complete monthly clinical audits

Liaise with the hospitals, GP practices and other medical professionals

Book patient transport as and when necessary

Liaise with colleagues who are taking over reception, making them aware of any outstanding issues that need to be dealt with

Carry out the partners' instructions and requests

All staff are required to take their share in providing cover, when necessary, for colleagues who may be absent as a result of holidays or illness. This is a mandatory requirement of the role

Open and distribute all incoming mail to the appropriate person(s)

Opening/closing the department as and when necessary, ensuring the premises are secure

Maintain a smart appearance, (tunics are provided), and be helpful wherever possible.

All staff should be conversant with and adhere to all written guidelines and protocols provided and available on the practice intranet - in particular: Safeguarding Protocol, The Health and Safety Policy, the In-house Complaints Procedure, the Fire/Alarm Procedures and all protocols that relate to their specific role.

Organisational and Statutory Requirements



The Post Holder must be aware of the responsibility placed on him/her under the Health & Safety at work Act 1974 and ensure that agreed safety procedures are carried out in order to maintain a safe environment for employees, patients and visitors.

All employees should understand that it is their personal responsibility to comply with all other organisational and statutory requirements e.g. Confidentiality, Equal Opportunities, Child Protection, The In-house Complaints Procedure, Fire Alarm Protocols and all protocols that relate to their specific role etc.

Other information



Five weeks holidays plus 8 bank holidays (pro rata for part-time staff)

Eligible to join NHS contributory pension scheme

Contractual sick pay from second year of service (extended sick pay terms after that).

Overtime, including extended hours, is an essential part of the job

New staff are not allowed to remain as patients with the practice

The role is performed on a shift basis

Confidentiality:



Maintain confidentiality of information, acting within the terms of the Data Protection Act and Caldicott guidance on patient confidentiality at all times.

Maintain an awareness of the Freedom of Information Act.

Information relating to patients, carers, colleagues, other healthcare workers or the business of the practice may only be divulged to authorised persons in accordance with the Practice policies and procedures relating to confidentiality and the protection of personal and sensitive data

Health & Safety:



The post-holder will manage their own and others' health & safety and infection control as defined in the Practice's Health & Safety Policy, and the Practice's Infection Control Policy and published procedures. Comply with Practice health & safety policies by following agreed safe working procedures Actively report health & safety hazards and infection hazards immediately Keeping work and general areas clean and tidy, and using appropriate infection control procedures to keep work areas hygienic and safe from contamination. Undertaking periodic infection control training (minimum annually) Awareness and compliance with national standards of infection control, hygiene, regulatory / contractual / professional requirements, and good practice guidelines. Correct personal use of Personal Protective Equipment (PPE) and ensuring correct use of PPE by others, advising on appropriate circumstances for use by clinicians, staff and patients. Reporting incidents using the organisations Incident Reporting System Using personal security systems within the workplace according to Practice guidelines Making effective use of training to update knowledge and skills

The post-holder will participate in any training programme implemented by the practice as part of this employment, with such training to include: Participation in an annual individual performance review, including taking responsibility for maintaining a record of own personal and/or professional development Taking responsibility for own development, learning and performance and demonstrating skills and activities to others who are undertaking similar work
