MGI Engineering Ltd is looking for a

Facilities and Office Manager

to join our highly skilled team to deliver cutting-edge solutions in the aerospace, automotive, motorsport and marine sectors. MGI Engineering is accelerating the creation of technologies towards a net carbon zero future.

Role

The Facilities and Office Manager is responsible for overseeing the maintenance and management of buildings and their services, as well as managing inventory and stock levels. This role ensures that facilities are safe, functional, and well-stocked to meet the needs of the organization.

Key Responsibilities:



Office Operations:

Manage supplies, coordinate maintenance, and oversee vendor contracts. Oversee routine maintenance and repairs, ensuring that facilities are safe and functional.

Budget & Finance:

Track expenses, monitor office budgets, and process invoices. Monitor the facilities budget, including forecasting and tracking expenses.

Meeting & Event Coordination:

Schedule meetings, manage calendars, and support the Events Manger with the organisation of company events.

Administrative Support:

Provide general support to staff, manage correspondence, and maintain filing systems.

HR Support:

Assist with onboarding new employees, maintain employee records, and support performance reviews.

Facilities & Safety:

Ensure compliance with health, safety, and environmental regulations. Maintain a secure and well- functioning office environment. Complete risk assessments. Ensure adoption of security requirements for buildings.

Team Management:

Supervise administrative staff and support training and development.

IT and data management roles

Coordinate with the IT department to ensure all office equipment is properly maintained and supported. Liaise with IT specialists to develop and manage the organisation's database, ensuring robust data security protocols are in place. Oversee the protection, retention, transfer, retrieval, and secure disposal of records in accordance with company policies and data regulations.

Skills:

Exceptional ability to manage multiple tasks and priorities in a fast-paced environment. Skilled in planning, scheduling, and ensuring deadlines are met with minimal supervision.

Strong written and verbal communication skills, with the ability to interact professionally with internal teams, external vendors, and visitors. Capable of drafting clear correspondence, reports, and documentation.

Proactive in identifying operational challenges and implementing effective solutions. Able to make sound decisions under pressure and adapt quickly to changing circumstances.

Confident user of office software including Microsoft Office Suite (Word, Excel, Outlook, PowerPoint), Google Workspace, and other administrative tools. Comfortable learning new systems and technologies as needed.

Demonstrated ability to lead and motivate a team, delegate tasks effectively, and foster a collaborative working environment. Skilled in conflict resolution and building positive relationships across departments.

High level of accuracy in managing records, budgets, and correspondence. Able to spot inconsistencies and ensure quality in all administrative processes.

Trusted to handle sensitive information with professionalism and integrity, particularly in relation to HR and financial matters.

Additional Duties:

Ad-Hoc Tasks: Perform other ad-hoc duties as assigned by the line manager.

This combined role is crucial for ensuring that the organisation's facilities and inventory are managed efficiently and effectively.
