About the role
We are seeking an experienced Facilities Manager to hold responsibility for all elements of hard and soft facilities management, fleet management, grounds maintenance (where applicable) and all other facilities management (FM)services where applicable to your portfolio. This will include utilisation of multiple IT platforms including those used for workflow management, and document management as well as all MS365 applications.
Within this role you will look after both mechanical, electrical and fabric maintenance to the properties and equipment using a combination of in-house and outsourced services in addition to providing operational support to business units as required.
Continuous personal development will be a key element of your role including attending training to remain up to date with legislation directly affecting your role. You will as an subject matter expert who will provide appropriate advice and guidance in order to effectively support the Senior Leadership Team on all matters related to facilities management
Responsibilities
Ensuring that there is an effective CAFM or online platform for the management of facilities management (FM) tasks across the business
Maintaining the asset register, ensuring that asset verification is reviewed every 12 months
Ensuring the business achieves and maintains statutory compliance in all areas of FM including but not limited to, mechanical and electrical engineering, utilities and infrastructure provision and maintenance and all applicable building legislation.
Knowledge of manufacturing specific risks and the associated legislation which will include PUWER, FSA 2021, LOLER, DSEAR, COSHH and MHSWR.
Adhering to the Callen-Lenz governance and assurance processes including self-audit and health and safety.
Managing and supporting soft services including reprographics, cleaning, grounds maintenance, access, parking, catering and workspace management.
Managing maintenance of the company fleet, this includes but is not limited to; MOT's, tax renewals and vehicle pack checking.
Support the delivery of security services as required
Support and providing advice in relation to building leases, expansion opportunities
Co-ordinate and support refurbishment work, moves and renovations
Be responsible for contractor site visits, including registration, induction, reviewing RAMS and escorting personnel as required.
Inputting into the design stages of buildings/facilities projects identifying and highlighting future maintenance requirements.
Supporting the commercial and procurement teams with the selection and category management of tier suppliers for various services
Ensuring that a site inspection is undertaken on a weekly basis with a focus on critical assets and fire aid boxes.
Ensuring all visitors are escorted at all times whilst on the Callen-Lenz property or moving between sites.
All other duties that reasonably fall under the remit of FM or any other reasonable management request.
Demonstrate in daily activities a commitment to health and safety in the workplace by always ensuring tasks are performed in the safest possible manner
Report all hazards and incidents that the individual is party to, or observes, in the correct manner.
When required or directed, participate in any health and safety training.
Perform other duties as required.
Skills
Qualifications
Membership of a suitable professional body (IWFM, RICS) with experience of managing facilities management delivery on a complex or multi-site environment.
Nebosh NGC or similar occupational health and safety qualification.
Essential
Demonstrable experience as a Facilities Manager
Previous experience managing CEM, preferably in a manufacturing environment.
A measured, considered team player who is capable of working autonomously
Excellent verbal and written communications skills, including experience of providing written recommendations up to Board level.
A professional and proactive approach to the delivery of FM.
Appropriate IT skills including Word, Excel and Outlook
Attention to detail, combined with excellent organisational skills and a passion for accuracy.
Desirable
Previous fleet management experience is desirable
Personal Attributes
Must be a British Citizen or have an existing right to work in the UK
Ability to hold Security Clearance - 5 years residence in the UK
Ability to commit to occasional national and international travel
A full valid UK driving license
