Supporting the LE&CUK IFM function to lead and manage the efficient and successful delivery of Facilities Management activities using external Facilities Management partners that meet the needs of the Bristol site(s).

What you\xe2\x80\x99ll do as a Facilities Support Lead:

The Facilities Support Manager \xe2\x80\x93 is responsible for the maintenance and upkeep of the Bristol portfolio of properties with responsibilities that include:

  • Ensure compliance to the applicable statutory requirements within Integrated Facilities management (IFM) services including SFG20 and reactive.
  • Safeguarding Utility services provided (gas, electricity, water) reducing consumption and assisting with the organisational goal of achieving net zero carbon emissions.
  • Guaranteeing the Facilities Management Contractor (FMC) completion of statutory inspections and corrective reactive works.
  • Managing workplace moves and change management of the physical environment.
  • Ensuring that the contractors used to support the maintenance and upkeep of the Estate are formally reviewed and approved for technical expertise and safety management and that they adhere to the standards of behaviour that maintain the safety and security of staff etc.
  • Leading by example in promoting the importance of all aspects of both HSE and Cyber security and ensuring that a strong, proactive and open \xe2\x80\x98safety\xe2\x80\x99 & \xe2\x80\x98workplace culture\xe2\x80\x99 is promulgated throughout the organisation.
  • Responsible for ensuring those activities under the Lead\xe2\x80\x99s control are undertaken in accordance with the requirements set out in the LEUK IFM procedures listed on the BMS.
  • Agree with Local and national stakeholders to maintain, develop and improve functional FM objectives and targets as necessary to support UK company strategy and local initiatives.
  • Lead IFM continuous improvement activities including, FOBI\xe2\x80\x99s, Initiative Funnels and Road Maps, management and control of process definition and governance of Site Facilities processes and procedures.
  • Manage the site variable budget, including managing semi comprehensive budget & approval & sign off of AWRs on behalf of the Cyber SLT.
  • Manage the company\xe2\x80\x99s site energy delivery network including the HV Electricity, Natural Gas networks. Water and waste management.
  • Monitor and manage the catering and hospitality function provided by the FMC ensuring the highest levels of customer satisfaction in compliance with the terms of the Local Authority Premises and food safety licences.
  • Ensure that the property is maintained to the highest standards in presentation by monitoring cleaning, soft services & refurbishment routines provided by the FMC.
  • Ensure the effective co-ordination & management of contractors during refurbishments and moves management ensuring their activities are effectively communicated to the business to avoid disruption to BAU, completed to budget, schedule and quality of workmanship.
  • Manage major emergencies and BCP incidents as a Bronze or Silver Command Site Main Controller responsible for the operation of the Emergency protocols focussed on the management of incident consequences relating to people, environment, assets and reputation.
  • Manage the Site Facilities budgets to ensure the achievement of the business objectives, deliver cost effectiveness and reporting on spend performance against the allocated budget.
Attend and contribute to the UK FM tier 1 meetings; Monthly FM reviews; site IFM visits; Utilities working group; Monthly stakeholder/IFM performance meetings; support audits in relation to ISS Schedule 13 and LDO internal and external ISO compliance; Projects support; JCC; Network Group activities. Occupancy and space planning / management forecasting using Internal KPI targets.

What we need from you:
  • Educated to Degree Level or HND level with relevant work experience within an equivalent function, aligned to the Site Facilities Training Matrix.
  • Conversant with building construction and associated engineering plant.
  • Fully conversant with Facilities Management processes and procedures (CDM).
  • Excellent interpersonal and team skills with the ability to communicate and interact at all levels.
  • Computer literate with experience of all company standard software.
  • Qualified to a minimum of IOSH, with a sound understanding of the Risk Assessment Process and the Permit to Work process.
  • Detailed understanding of the applicable HSE procedures covering the Site Facilities activities.
  • Team leadership skills and associated experience.
  • Conversant with all relevant EU, UK and Company Safety and Environmental legislation.
