Caerphilly County Borough (with flexible/remote working options)

Contract:

Permanent (Fixed term 9 months with scope to extend)

Salary:

24,570 per year

Hours:

Full-time, 37.5 hours per week (Monday-Friday)

As our Admin & Finance Assistant, you'll play a crucial role in keeping the day-to-day operations of Welsh ICE running smoothly. From reconciling accounts to supporting our community team, you'll be the engine that powers our mission--making sure everything is in place so we can continue delivering outstanding support to our members and programme participants.

What You'll Be Doing

Use

Xero

to reconcile transactions, generate reports, and track actuals against budgets. Process invoices and payments, complete bank reconciliations, and manage expense claims. Triage and respond to queries via our finance mailbox, helping resolve discrepancies quickly and efficiently. Support wider admin tasks including scheduling, diary management, minute-taking, and ensuring GDPR compliance. Assist with general office admin such as call answering and inbox monitoring. Help cover reception duties and assist the site team with opening and closing the building when needed. Maintain accurate digital records using tools like Google Workspace, Stripe, Fastpay, and our CRM.

What We're Looking For:



We're after someone with a keen eye for detail, great systems knowledge, and a positive, team-first attitude. If you've got the skills and the heart, we want to hear from you--even if you don't tick every single box.

A solid background in finance/admin, ideally with hands-on experience using

Xero

or similar bookkeeping software. Excellent spreadsheet skills (Google Sheets or Excel), confident using formulas and automations. Digitally savvy and comfortable using a range of tools--ideally including Stripe, Fastpay, CRM platforms, and cloud-based systems. Clear, confident communicator who enjoys working with people from all backgrounds and disciplines. Super organised and methodical--you spot errors, streamline systems, and keep on top of multiple tasks with ease. Someone who's curious, open to learning, and interested in how digital tools and automation can improve efficiency. A team player who takes pride in supporting others and delivering high-quality work behind the scenes. A passion for community and inclusive support--whether you're based in Caerphilly or working remotely. Welsh language skills would be a great bonus (but not essential).
