: Part-Time Finance Administration Officer (Special School)

Job Title: Finance Administration Officer

Grade/Salary: 25,000 pro rata

Hours: 2 days per week (e.g. 15 hours)

Location: Pathways School, Harrow

Reporting to: Headteacher

Contract Type: Term-Time Only

Purpose of the Role:

To provide accurate, efficient, and confidential financial and administrative support to the school, ensuring that all financial procedures are followed in accordance with school policies, local authority, and statutory guidance. The post holder will work closely with the Head Teacher and Chair of Governors to support the financial operations of the school.]

Part of this role may require working from home.

Key Responsibilities:

Finance:

Process and record all financial transactions using the school's finance system (Xero). Monitor and reconcile school budgets and accounts including petty cash, school fund, and credit card usage. Raise purchase orders and process invoices in line with procurement procedures. Support payroll administration, including logging absences, overtime, and staff expenses. Prepare regular financial reports for the School Business Manager or Governors. Assist with audits and end-of-year financial procedures.
Administration:

Maintain financial records in an organised and secure manner. Assist with general office administration as required, including filing, post, and answering finance-related enquiries. Liaise with suppliers, contractors, and local authority finance teams. Support the processing of funding claims (e.g. pupil premium, high-needs funding).
Compliance and Safeguarding:

Ensure confidentiality and data protection in all financial and administrative dealings. Follow all safeguarding policies and procedures, reporting any concerns appropriately.
Person Specification:

Qualifications



GCSEs (A-C) in English and Maths AAT qualification or similar finance training (desirable)

Experience



Experience in finance or school administration (desirable) Experience in a special school or education (desirable) Use of finance software (e.g. FMS, SIMS, etc.) Experience of using Xero finance software. (desirable) Use of online banking and reporting tools

Skills & Knowledge



Good numeracy and financial accuracy Understanding of school funding arrangements (desirable) Proficient in Microsoft Excel and Word Familiarity with procurement regulations Ability to manage time and prioritise tasks Knowledge of payroll systems

Additional Information:

The post is subject to an enhanced DBS check and two satisfactory references. Training will be provided as necessary, including safeguarding and GDPR compliance. Hours, working days and location can be discussed and agreed in line with operational needs.
