Job Description

Job Summary:

The Finance Administrator supports the finance team by managing sales and purchase ledgers, tracking cash flow, performing multi-currency bank reconciliations and monitoring online payments. The role also involves posting month-end journals and preparing VAT reconciliations and returns.

Key Responsibilities:

Purchase ledger



Manage the purchase ledger, processing invoices, credit card transactions and expense claims promptly. Maintain accurate and up-to-date supplier records in the accounting system. Raise purchase orders in compliance with company policy.

Sales ledger & credit control



Raise and process all invoices promptly and accurately. Maintain up-to-date and accurate customer records in the accounting system. Conduct regular credit control through email and telephone follow-ups.

Bank accounts & cash



Perform daily reconciliations of all bank accounts, including multi-currency and online payments. Monitor and plan cash flow to support ongoing business operations. Maintain and reconcile both sterling and foreign currency petty cash

Month-end & reporting



Prepare and post month-end journals, including pre-payments, income in advance and accruals. Reconcile sales figures against weekly sales reports. Compile spend and revenue reports and circulate them to departmental heads for review.

Sales order processing



Process sales bookings and ensure they are accurately reflected in sales reports. Produce weekly sales reports and circulate them to senior management.

Other



Prepare VAT returns, taking full ownership of the process. Calculate monthly commissions accurately and on time. Maintain accurate financial records and ensure compliance with company policies and regulations. Keep process documentation up to date. Contribute to process improvements across finance, HR and IT functions. Provide holiday cover for the Finance Director. Assist the Finance Director with HR-related tasks. Assist the Finance Director with IT-related tasks.
Key Result Areas:

Issue weekly sales reports accurately and on time. Enter month-end journals promptly. Reduce debtor days through proactive credit control. Prepare VAT returns, ensuring all queries are resolved in a timely manner. Process and pay purchase invoices promptly.
Department Dimensions:

The successful candidate will join a two-person team responsible for all Finance, HR and IT matters. They will maintain accurate accounts and HR records, ensuring data integrity while adhering to, and helping to update, internal processes and policies.

Salary & Benefits:

Salary: 27,500 - 29,000 per annum [pro-rata] Holiday entitlement: 28 days including bank holidays, increasing by 1 day for each year of service up to a maximum of 33 days.
