Purpose of the Job


The IFM Administration Manager is responsible for delivering and governing a comprehensive administration function that supports the 'One Sodexo' IFM service delivery across all contract service lines. This role ensures consistent application of Sodexo financial processes, driving accuracy in financial reporting and process improvements. The manager oversees payroll, vendor invoices, purchasing requests, and supports month-end closing activities, maintaining compliance with financial controls and audit readiness. Additionally, this position provides key financial and administrative support to senior operational management and stakeholders, enabling operational teams to deliver high-quality, solution-based services.



Key Responsibilities

Deliver an effective IFM administration function supporting operational teams to achieve service excellence and compliance. Manage payroll, vendor invoices, purchase orders, and ensure accuracy and timeliness of all financial transactions. Support month-end closing processes, including account reconciliations and preparation of detailed financial reports. Administer SAP requests, manage aged debt, pre-payments, and monthly accruals. Prepare and deliver accurate financial data, trend analysis, and benchmarking reports to stakeholders. Act as financial support for all UK site and Account Directors to improve profitability and accuracy of reporting. Ensure compliance with Sodexo's ethical standards, accounting manuals, and financial control procedures. Collaborate with UK Finance Manager on contract transition, transformation, and property estate changes. Provide general administrative support including onboarding and HR system implementation. Deliver training to improve financial and commercial acumen of site staff. Respond promptly to stakeholder queries as the first point of contact. Maintain and update client purchase order requirements and oversee accurate billing processes. Support finance manager in commercial tasks and deliver regular financial reporting as required.


Accountabilities

Full ownership of payroll, invoice processing, purchase order raising, and invoicing processes. Ensure month-end processes reflect high accuracy in Sodexo P&L and financial reporting. Collaborate with Project Management to produce timely and accurate client-approved quotes. Liaise with operations on purchase orders, projects, and quotes to ensure accurate cost allocation. Oversee e-prophit close process for timely weekly and monthly financial returns. Analyse financial data and produce detailed trend analysis reports.


Person Specification

Experience in financial or supply management is desirable. Excellent communication and relationship-building skills across all organizational levels. Methodical, process-driven with exceptional attention to detail. Proficiency in Microsoft Office; experience with SAP and Power BI is desirable. Currently studying or qualified in professional accountancy (CA/ACCA/CIMA). Resilient, adaptable, and able to work flexibly across the UK & Ireland. Strong planning skills, capable of managing multiple deadlines and priorities. Positive, professional, and articulate communicator. Skilled in delivering sound forecasts and budget information. Analytical mindset to identify key financial issues quickly. Collaborative yet able to lead when necessary, working structurally to deliver outcomes. Builds strong relationships with site staff, Account Directors, operations, finance colleagues, and client stakeholders.
