Primary Purpose:
Reporting directly to the Finance Manager, the Finance and Payroll Assistant is an integral member of a small finance team responsible for:
providing support to the Finance Manager to deliver financial operations.
overseeing payroll for the full staff team.
supporting automation wherever possible across Age UK Cheshire financial processes.
Main Duties:
To provide support to the Finance Manager, working together to cover all financial operations required by the charity.
Work in accordance with the charity's financial procedures.
Maintain confidentiality in relation to key financial records, including payroll.
Apply a continuous improvement mindset.
To assist with annual external audit.
Maintain accurate and up-to-date financial records within Xero accounting software
Process and reconcile supplier invoices, staff expenses and credit card transactions
Prepare and process payments
Support monthly bank reconciliations
Oversee the raising and issuing of sales invoices to agreed terms.
Respond to finance-related queries from internal and external stakeholders
Assist with month-end and year-end close processes
Ensure debtors pay promptly and to terms, including chasing where appropriate and necessary.
Assist in the preparation of forecasts and future budgets using day to day working knowledge.
Help ensure adherence to financial policies, procedures, and internal controls
Process end-to-end payroll on a monthly basis for all staff
Ensure payroll transactions are processed accurately and on time
Maintain and update employee payroll records, including new starters, leavers, and changes. Liaise with HR and Finance departments to ensure alignment of employee data and payments
Calculate statutory payments such as SSP, SMP, SPP, and other deductions (e.g., pensions, student loans, AOE)
Ensure compliance with HMRC regulations, including RTI submissions and year-end reporting (P60, P11D)
Resolve any payroll queries, communicating directly with staff.
Process payroll year end including distributing P60's to staff members.
Reconcile the monthly salary journals and payroll accounts in the balance sheet on a monthly basis - investigating any discrepancies and correcting.
Complete additional pension and healthcare benefit administration and reporting as required.
Take responsibility for personal development, adhere to organisational policies and legal requirements and identify and propose training opportunities to develop skills.
To work according to the standards required by the contract and the policies, procedures, and quality standards of Age UK Cheshire.
To work as part of the Finance team including assisting in covering finance team holidays
Essential Criteria
Payroll or financial qualification or qualified by experience in finance or payroll.
Experience in processing monthly payroll including varying monthly pay and overseeing a pension scheme.
Experience in following financial processes to a high standard.
Excellent communication skills, both written and verbal and able to communicate across all levels
Excellent financial and administrative skills with strong attention to detail.
Proven ability to work independently, prioritise workload, and manage multiple tasks.

Ability to travel to Northwich and/or Macclesfield as occasionally required for in person meetings.
Excellent IT skills including accounting and payroll systems.
