Purpose of the Role
Ensure the Finance function runs efficiently by managing core finance processes and acting as the primary administrator for the project management system, driving accuracy and workflow improvements.
Key Responsibilities
Finance Administration
Prepare and issue client invoices, applying correct FX rates and narratives.
Process supplier bills, reconcile statements, and manage purchase ledger.
Review and process employee expenses in line with policy.
Perform daily bank reconciliations and resolve discrepancies promptly.
Monitor and manage aged debtors, including chasing overdue payments and maintaining accurate debtor reports.
Support month-end with reconciliations and schedules.
Respond promptly to internal and client finance queries.
Project Management Tool Administration & Development
Maintain project and finance data within the tool to ensure accuracy.
Troubleshoot system issues and liaise with support teams.
Work with Finance and Client Services to identify process improvements and implement system enhancements.
Ensure system-wide pricing, rate cards, roles, and cost structures are accurate and kept up to date.
Support the wider team with creation and upkeep of processes and user guides to ensure consistent usage and best practice.
Collaborate with internal stakeholders to optimise functionality.
Skills, Experience & Qualifications
Proven finance administration experience (invoicing, payables, expenses, bank reconciliations, aged debtors).
Strong knowledge of accounting software and project management tools; experience in system administration or configuration is highly desirable.
Excellent attention to detail and ability to follow and improve processes.
Strong communication skills for stakeholder engagement.
Intermediate Excel skills (lookups, pivot tables).
AAT Level 2/3 or equivalent experience (desirable).
Experience in system development or process automation (desirable).
Ways of Working
Remote with expected monthly travel to Henley-on-Thames for month-end and key meetings.
Regular in-person team sessions with the wider Finance team.
Proactive communication and collaboration across Finance, Client Services, Solutions, and Sales.
