We are seeking a highly organised and proactive Office Manager to oversee the daily operations of our office. The ideal candidate will possess strong leadership skills and a solid background in financial management. This role is critical in ensuring the smooth functioning of our administrative processes, supporting our team, and contributing to the overall success of the organisation.
Financial
Finance tasks including administration of invoices, PO's, expenses. petty cash, inputting data to Sage, making payments, assisting cash flow, completing monthly reconciliations, assisting the accountant.
Process payroll.
Distribute weekly financial target update.
Complete monthly P&L
Manage payment of suppliers and trade tightly.
Estimating and quoting.
Work closely with the Project Management team to ensure correct paper work is in place for invoicing.
Assist in improving profitability by reviewing and sourcing new suppliers regularly.
Improve knowledge on related matters such as materials, estimates and production needs.
Contribute to improved accuracy of estimating through project analysis.
Procurement management.
The purchasing of all materials is to be centralised and under the control of procurement. Purchasing will be instructed by managers or stakeholders and deliveries, invoices and ratified accordingly.
Maintaining and managing JQS as part of the financial planning and management of the business and projects.
Assist in the assessment and selection of suppliers, and purchase all required components.
Work closely with cross functional teams to support project deliverables.
Carry out completion reviews of every project, reporting to management team and working with them to implement any resulting improvements identified.
People management
Complete ID checks for all new starters
Attend and minute monthly management meetings.
Set up new starters and process leavers on HR system.
Health and Safety
Ensure health and safety standards are met, any concerns reported immediately
Ensure site security is upheld
Requirements
- Proven experience as an Office Manager or in a similar administrative role.
- Strong knowledge of financial management principles, including financial planning and cost control.
- Proficient in financial services, accounting software Sage, and Microsoft Office Suite.
- Exceptional organisational skills with keen attention to detail.
- Strong communication skills, both verbal and written, with the ability to interact professionally at all levels.
- Ability to handle sensitive information with discretion and confidentiality.
