As the Office Manager at Continuum Financial Services, you will lead the administration team to deliver excellent administration support, as well as oversee the smooth running of our head office. You will have experience of managing a team and an excellent understanding of the financial advice process.
Key Responsibilities & Accountabilities
Develop, implement and streamline administrative procedures and policies to enhance organisational efficiency and productivity.
Oversee and manage the daily operations of the administrative team, including supervising administrative staff, delegating tasks, and providing guidance and support.
Coordinate and communicate with department heads and Continuum Partners to understand their administrative needs and ensure timely delivery of services.
Facilitate, coordinate and conduct regular meetings with administrative team.
Oversee and manage individual administrative team's workloads and tasks
Manage facilities and office services, including stationary, maintenance, and security.
Oversee technology and IT infrastructure.
Oversee new adviser onboarding to Central Admin Unit, including registering advisers for relevant agencies.
Provide full training for all new administration staff upon joining Continuum for the probationary period.
Oversee and manage large amounts of client data, to include mail merges.
Communicate with providers to address and resolve issues.
Provide administrative assistance to CAU allocated advisers, including:
Completing and processing transfer of servicing documentation.
Preparing and assisting with Annual Reviews.
Liaising with providers regarding pipeline cases.
Managing client appointments and scheduling.
Raising client invoices and verifying client and provider fees.
Liaise with internal departments, including HR, paraplanning etc, to ensure a smooth operational service.
Provide support to the Senior Management Team as required.
What we are looking for
A minimum of 2 years' experience managing, leading and developing a team is essential
A minimum of 2 years' experience in financial services administration
Ability to empathise and build strong business relationships with Continuum Advisers, management and colleagues
