Front of House Receptionist/patient Co-Ordinator

to join our team and ensure that every patient's experience is nothing short of excellent.

As the first point of contact for our patients, you will play an integral role in managing the patient journey and ensuring smooth, professional operations.

You will be responsible for providing a 5-star experience, from managing appointments and handling enquiries to assisting with patient coordination. This role requires excellent communication skills, a strong customer service ethos, and a keen attention to detail.

Duties to Include:



Patient Journey Management:

Meet and greet patients, ensuring a welcoming and positive experience Deal with patient enquiries in a polite and professional manner, maintaining high customer service standards and upholding the company's professional image Manage telephone and email enquiries, book appointments, and maintain accurate patient records in the system Arrive and check-out patients according to the booking system and manage patients who are late or have missed appointments Take payments and maintain accurate patient accounts. Prepare patient files and clinic lists according to practitioners' schedules and treatments

Patient Coordination and Support:

Assist with patient coordination and call-back requests, and triage new enquiries with the support of the team Record accurate and confidential notes on the patient management system

Sales and Revenue Maximisation:

Maximise revenue opportunities by linking and upselling treatments, courses, and retail products Maintain a professional and calm attitude when speaking with patients, visitors, and clients

Team Collaboration:

Work with all team members to ensure a professional, seamless, and positive experience for every patient Have a comprehensive understanding of our aesthetic services and products to ensure patient satisfaction

Qualifications and Skills:



Previous experience as a receptionist or front-of-house staff in a medical or aesthetic clinic is highly preferred Exceptional customer service and communication skills Ability to multitask, stay organized, and work efficiently in a fast-paced environment Knowledge of medical terminology is advantageous Proficient in office software (e.g., Microsoft Office, scheduling systems) Ability to maintain confidentiality and comply with privacy regulations A positive, friendly, and professional demeanor Sales-oriented, with an ability to upsell services and products effectively
