Job Description

The Whiteley Clinic is a leading independent clinic, providing walk-in walk-out minimally invasive procedures and rated as Outstanding by the Care Quality Commission.

We are looking for someone who has outstanding front of house skills, be able to multitask, be organised and confident. You should enjoy providing outstanding customer service to patients and visitors, as you will be the first point of contact for the clinic.

Main Duties and Responsibilities



To greet patients providing a high standard of professional interaction and service throughout their patient journey, and to ensure the smooth running of the day-to-day clinic and administration process. To have exceptional IT skills and able to use our clinic patient data base system (training will be provided). To maintain and support harmonious working relationships within the clinic. To possess general knowledge of Absolute Aesthetics and The Whiteley Clinic treatments to be able to provide information and advice to patients. To have sound knowledge and working practice of The Whiteley Clinic and Absolute Aesthetic policies. To offer and provide a range of refreshments to patients, and to ensure that the clinic including treatment rooms are kept clean and tidy, by removing used cups and crockery. To attend all mandatory training and other clinical and customer service training as required. To be responsible for taking deposits and payments for appointments and treatments on a PDQ machine and other payment systems. To answer telephone calls and deal with as many enquires as possible. To take deliveries and post to the appropriate person/department. To highlight any building/facility requirements to the Clinical Nurse Specialist or Practice Manager. To escalate any complaints to the Practice Manager. Any ad-hoc duties that may be required to ensure the day to day running of the clinic runs as smoothly as possible. To deal with booking appointments, enquiries, and cancellations at FOH and over-the-phone. Prepare patient files, including new patient files, for all clinics the week before and continually check them daily for any add-on patient appointments. Patient files will also need to be made on the electronic patient data system. To reply in timely manner to all patient enquiries by email and telephone. To support the Practice manager with GDPR SAR requests when needed. To download and save patients images from cameras on the secure patient database system. Always maintain strict confidentiality of patient information. To take deposits and payments and ensure payments are entered onto the relevant patient database system. To ensure that all relevant paperwork for each patient list is ready for the consultant/practitioner. Ensure the Company Policy and protocols are always adhered to in accordance with CQC compliance.

Front of House Coordinator Specification



Experience working in a patient-facing environment for one year minimum. Professional interaction and service throughout each patient journey. Excellent written and verbal communications skills Exceptional IT skills (including use of all Microsoft packages) Immaculate presentation Ability to take direction from multiple managers, with the ability to multi-task and prioritise within a busy working environment. Strong ability to build team-spirit in the workplace. Confident working independently but also as part of a small team Knowledge of private healthcare

Experience of working in private healthcare clinic Familiarity with databases - Meddbase Experience of clinic diary management

Terms and conditions



Permanent position with a probation period of 3 months Attend training at our Guildford clinic. Hours of work: 8:45am - 5:15pm, Monday to Friday (40 hours per week) Salary: from 23,000 to 26,000. 25 days of annual leave + 1 day for your birthday and Bank holidays Private Medical Cover - Bupa Canada Life Cover Yearly appraisal
