Front of House Receptionist
who can take full ownership of the reception desk and ensure every patient receives a warm, seamless and professional welcome.
This is not a basic call-answering role. You will be the face of the practice and the custodian of the patient journey from the moment they contact us.

Role Purpose
To provide an outstanding front-of-house experience, ensure day-to-day organisation of the practice, maintain administrative accuracy, and act as the reliable anchor of the clinical team.
Key Responsibilities
Patient Experience & Front of House
? Warmly greet every patient and maintain a professional, positive presence at reception
? Answer calls promptly with confident communication and clear articulation
? Use patient-friendly scripts, maintain consistent tone, and represent our brand values
Diary & Appointment Management
? Manage diaries for dentists, therapist and hygiene clinics
? Use alternate-close techniques when offering appointments to improve conversion
? Reduce white space by proactively filling gaps in the diary
? Handle cancellations and rebooking using daily reports
? Ensure patient recall % is maintained or exceeded
Administration & Organisation
? Open and close the day following established checklists
? Manage emails, recalls, reminders and follow-ups
? Maintain accurate patient records on Dentally
? Manage referral tracking, incoming documentation, x-rays and reports
? Keep reception clean, organised and presentation-ready at all times
Communication & Coordination
? Liaise clearly with clinicians and nurses to support the smooth daily running of the practice
? Ensure handovers are consistent, documented and followed
? Keep on top of daily tasks without needing prompting; own your domain
What We're Looking For
? Strong customer service experience (hospitality ideal: hotel, spa, premium retail, medical front desk)
? Excellent communication, clarity of speech and a friendly, confident disposition
? Highly organised and able to follow structured daily processes
? Comfortable using software, learning new systems and working with reports
? Able to handle multiple tasks calmly and professionally
? A proactive mindset: sees what needs doing without being asked
? A genuine interest in people and service
Dental experience is helpful but not essential if you are quick to learn and confident with systems.
