Outline of role




We are looking for a proactive and organised Project Support Administrator to join our dynamic Projects Department. This role plays a vital part in supporting the smooth delivery of projects and the administrative needs of the Project Support Team. Working closely with the Projects Team Leader, you will ensure that all project activities are coordinated efficiently, client deadlines are met, and communications remain professional and effective at all times.


Main responsibilities




Coordinating day-to-day project administration activities. Ensuring smooth and efficient project delivery to meet client deadlines. Adopting a cost-effective and client-focused approach in all activities. Maintaining high standards of both internal and external communication. Allocating components via our in-house stock system according to customer requests and programme dates. Liaising with suppliers on a daily basis to ensure timely delivery of materials. Preparing scheme quotations and collating schedules. Monitoring budgets, ensuring sufficient order cover and available funds. Planning workloads for the team and monitoring inbound/outbound supply. Managing schedules and shared inboxes to ensure work is completed on time. Reporting on progress, resolving issues, and advising management/clients on project status. Maintaining spreadsheets, checking data accuracy, and analysing costs. Authorising transport deliveries and collections as needed.

Knowledge and skills required




Strong organisational and multitasking abilities. Excellent IT skills, particularly with Microsoft Office (including Excel). Familiarity with SAGE systems. Confidence in managing and prioritising a diverse workload. Strong analytical and problem-solving skills under pressure. High attention to detail with accurate data input and a "right first time" mindset. Excellent communication and interpersonal skills. The ability to adapt, react, and learn quickly in a fast-paced environment.

Experience & qualifications




Previous experience in a project administration or coordinator role. Proven ability to deliver accurate reporting to corporate timetables. Experience monitoring budgets, supplier performance, and project progress. Strong track record in managing competing deadlines and priorities. GCSEs (A-C) in Maths and English.
