This role is home based but you must be able to travel to one of our UK Academies as and when required

As a functional skills coordinator you are responsible for the project management, administration and reconciliation of the functional skills teaching programme delivered by the functional skills tutor and any functional skills teaching delivered by the Skills Coach and Tutor teams.

You are responsible for ensuring that learners receive their full functional skills timetable at the start of their learning programme, ensuring that they receive reminders of attendance one week before the planned sessions and the day before the session. You will be responsible for managing the registers of the teaching, uploading evidence to the Skillnet E-track system and uploading individual progress reports. You will ensure that where learners fail to attend their teaching session they are contacted within 30 minutes of the start time, their welfare checked, and their non-attendance recorded appropriately.

You will ensure that employers are aware of their apprentices teaching timetable and report back to them on individual learning progress and any incidents of non-attendance.

With the support of the Administration, Quality and Curriculum Teams, you will ensure our learners, customers, subcontractors and colleagues are supported professionally and in a timely and efficient manner.

You will support the organisation in meeting the operational and financial requirements of the business by providing assistance, guidance, advice, or taking appropriate action to effectively resolve issues and ensure that appropriate performance and attendance levels are being met at all times.

Responsibilities



Set up diagnostic accounts where required and ensure apprentices complete their assessments within 1 week. Produce individualised apprentice functional skills teaching timetables that align to both the individual diagnostic reports and the overarching Skillnet functional skills teaching table. Produce joining instructions for the individual apprentice and their functional skills learning journey Send out individual text reminders 1 week and 1 day before attendance is required Send out individual employer reminders of functional skills teaching times and dates and the requirement for their apprentice to attend. Ensure that the correct functional skills learning aims are recorded on Maytas and the appropriate funding is being received. Ensure that any exemptions declared by learners are received and meet the requirements to act as exemptions Ensure that exemptions received are recorded and the learning aim turned exempt on the Skillnet E-track system. Ensure that learners are registered with the appropriate awarding organisation in a timely manner Carry out learner duty of care calls within 30 minutes of non-attendance Carry out employer awareness calls within 30 minutes of non-attendance Issue employer non-attendance letters and fines, within 24 hours of non-attendance Ensure that the finance team send non-attendance invoices within 24 hours of the non-attendance letter being issued Accurately record the details of the non-attendance fines and financial values Update individual learner records with accurate learning outcome information following a teaching session Coordinate speaking and listening groups for assessment by the functional skills tutor Update skills coaches with accurate information and feedback following apprentice functional skills teaching sessions On achievement claim the functional skills certificates with the relevant awarding organisation where required. Co-ordinate and lead the EQA visits for functional skills Produce monthly reports that identify the financial value of both overall functional skills funding and the value of non-attendance fines. Produce monthly learning progression reports Produce attendance reports versus planned attendance Produce output reports Maintain a database of success rates Identify learners at risk and coordinate the action plan that supports a timely achievement Ensure Skillnet always remains compliant with the DfE funding regulations Supporting colleagues within the team where and when required.
Key competencies required for this role

Demonstrable experience as an office administrator, office assistant or relevant role within a busy, fast paced environment to tight deadlines.

Outstanding communication and interpersonal abilities

Attention to detail is essential to achieve the level of thoroughness and accuracy required.

Experience of working with Skills Funding Agency funded programmes and their audit requirements is preferred but training will be provided.

Experience of managing customer and client expectations.

Excellent timekeeping, administrative and organisational skills are essential.

Ability to adapt to new processes and learn new regulations quickly to meet the businesses regulatory commitments.
