We are seeking a detail-oriented and proactive Goods-In Controller & Buying Administrator to support our purchasing and supply chain operations. This hybrid role ensures the smooth flow of goods into the business while providing essential administrative support to the purchasing and product management teams. The ideal candidate will have strong organisational skills, excellent communication, and the ability to work efficiently in a fast-paced environment.
Key Responsibilities
Goods-In Control
Approve all goods-in from all company sites, ensuring accuracy, compliance, and adherence to internal procedures.
Verify quantities, documentation, and product specifications to ensure all inbound deliveries meet required standards.
Manage and maintain clear records of all goods-in approvals for auditing and reporting purposes.
Customs & Compliance
Manage all documentation required for customs clearance.
Liaise with freight forwarders, agents, and internal stakeholders to ensure all information is accurate and compliant.
Resolve any customs-related issues promptly to avoid delays.
Shipping & Logistics Coordination
Coordinate shipping schedules with external agents to ensure timely delivery of containers in line with stock requirements.
Monitor and track inbound shipments, escalating delays or discrepancies where necessary.
Communicate delivery timelines to relevant departments.
Quality Control & Issue Resolution
Manage and resolve product quality issues, working closely with suppliers, depots, and quality teams.
Investigate discrepancies and take corrective actions where required.
Maintain accurate records of quality issues and resolutions.
Buying Administration
Support daily buying activities, including pricing updates, promotional changes, and handling depot-related product issues.
Update internal systems with accurate product information and pricing.
Assist in data collection, reporting, and general administrative tasks for the purchasing team.
New Product Setup
Assist the
product management team
with all aspects of new product setup, including:
o Line forms
o Barcodes
o Pack formats
o Supplier alignment and system integration
Ensure all product setup information is accurate and completed within deadlines.
Skills & Experience
Previous experience in purchasing, goods-in, logistics, or supply chain administration is desirable.
Strong organisational and time-management skills.
Ability to work with high attention to detail and accuracy.
Excellent communication skills, both written and verbal.
Proficiency in Microsoft Office (with strong Excel skills preferred).
Ability to work under pressure and meet tight deadlines.
Strong problem-solving skills and a proactive approach.
