At Ipswich Dental Specialists, we are looking for a dedicated and detail-oriented head receptionist to join our specialist dental team in our growing and developing two-surgery practice. The successful candidate will play a crucial role in ensuring a smooth and efficient patient experience from the moment they are referred to our practice. This position requires strong organisational skills and the ability to manage administrative tasks effectively while providing an exceptional patient experience from referral onwards. This is an opportunity to create a new and unique - and pivotal - role within our practice.
Responsibilities
Greet patients upon arrival, assist with the check-in and consent process.
Schedule appointments and manage the specialist dentists' diaries for maximum quality and capacity.
Maintain accurate patient records and ensure all documentation is up-to-date and confidential.
Answer phone calls and respond to written and verbal patient enquiries in a clear, timely and professional manner.
Co-ordinate communication between patients, the specialist dental team and external service and equipment providers.
Process patient information, including insurance details, efficiently, accurately and on time.
Work with the clinical system to provide costed treatment plans, process payments and respond to billing enquiries.
Ensure the waiting area is welcoming and organised for patients and that there is always a first point of contact for the patient throughout the working day.
Collaborate with the rest of the team to ensure continuously seamless and accurate processes, up-to-date information and record-keeping and all the relevant information required is present for the provision of a consistently high quality service.
Qualifications
Previous experience in a patient-facing, office/ administrative role, preferably within a dental or similar private healthcare setting.
Strong organisational skills with excellent attention to detail.
Excellent communication skills, both verbal and written.
Proficient in using office software and electronic medical record systems.
Ability to multitask and prioritise effectively in a fast-paced environment.
A compassionate approach towards patients, demonstrating empathy and understanding.
Knowledge of medical terminology is an advantage but not essential.
