Head of Property Management
to lead our London team and oversee all aspects of the property management operation.
Role Overview
The
Head of Property Management
will take full responsibility for the day-to-day running, compliance, and growth of the London property management portfolio. This role involves managing a small team, ensuring high standards of service delivery, maintaining compliance, and continually improving efficiency and client satisfaction.
You will be the key point of escalation for complex issues, providing leadership, structure, and strategic input to help grow the managed portfolio and elevate Orlando Reid's property management service.
Key ResponsibilitiesTeam & Leadership
Lead, support, and develop a team of two property management professionals, fostering a high-performance culture.
Train and mentor new staff and trainees to ensure consistent quality and compliance across the team.
Conduct regular one-to-ones, appraisals, and training sessions.
Oversee team workflows and ensure all portfolio tasks are completed within required timeframes.
Encourage collaboration with the lettings and accounts departments to provide a seamless client experience.
Portfolio & Operations Management
Oversee the day-to-day management of the London property portfolio, ensuring a first-class service to landlords and tenants.
Manage both
reactive and proactive maintenance
, ensuring repairs are dealt with promptly, efficiently, and cost-effectively.
Organise mid-term inspections
across the portfolio, ensuring reports are completed accurately and any follow-up works are actioned.
Coordinate property visits
for staff, contractors, and external partners, ensuring health & safety and access arrangements are adhered to.
Oversee tenancy renewals, check-ins, and check-outs, ensuring smooth transitions and minimal void periods.
Manage escalated complaints and resolve complex issues efficiently and professionally.
Build and maintain strong relationships with landlords, tenants, and contractors.
Compliance & Legal
Ensure all managed properties are fully compliant with relevant housing legislation and safety regulations (EPCs, gas safety, EICRs, smoke/CO alarms, etc.).
Handle
licence applications
for HMOs, selective and additional licensing schemes.
Prepare and manage
court cases
, including possession claims and deposit disputes.
Keep abreast of legislative changes and ensure compliance processes are updated accordingly.
Conduct regular internal audits to maintain high compliance standards.
Operational Excellence
Streamline systems and workflows to increase efficiency within the department.
Monitor and report on key KPIs (arrears, renewals, maintenance response times, compliance rates, etc.).
Ensure accurate and up-to-date records within the property management software (e.g., Reapit, Fixflo).
Oversee and maintain an approved list of contractors, ensuring all have valid insurance and meet service standards.
Work closely with the accounts team on rent collection, arrears management, and landlord payments.
Business Development & Growth
Identify opportunities to
grow the managed portfolio
through new instructions, internal referrals, and improved client retention.
Support the lettings and investment teams during valuations, pitches, and new business meetings.
Deliver an exceptional service that promotes repeat business and client recommendations.
Provide regular reports and strategic updates to directors on portfolio performance and growth opportunities.
Financial Oversight
Monitor departmental budgets and profitability.
Approve contractor quotes and invoices in line with company policy.
Oversee rent arrears management and support the accounts team with financial reconciliations.
Skills & Experience Required
Minimum
5 years' experience
in residential property management, with at least
2 years in a leadership role

Strong understanding of
UK landlord and tenant legislation

HMO management

compliance requirements
.
Excellent organisational, communication, and problem-solving skills.
Confident in managing
court proceedings

complex maintenance issues
.
Proven ability to lead, train, and motivate a small team.
Highly professional and client-focused, with strong attention to detail.
ARLA Propertymark qualification (Level 3 or above) preferred.
Proficient with property management systems such as
Alto

Fixflo
, or equivalent.
