Job Description

We are seeking a proactive and detail-oriented Health & Safety Administrator to join our growing business. This is an excellent opportunity for someone who wants to take ownership of the role and develop alongside the company as we continue to expand.

You will work closely with our external Health & Safety consultants & internal team to ensure full compliance with current legislation, industry standards, and client requirements.

You will play a key part in maintaining our certifications, managing documentation, and promoting a culture of safety throughout the organisation.

Key Responsibilities:



Health & Safety Compliance & Documentation

Work alongside our external Health & Safety company to ensure all documentation is accurate, up to date, and compliant with UK legislation. Oversee the day-to-day running of compliance systems to ensure company certifications and approvals remain current. Develop and update company Health & Safety policies based on audit findings, compliance requirements, or legislative changes. Ensure all risk assessments, method statements, and policies are issued, reviewed, and reissued periodically. Manage induction and training records for all employees Maintain PPE records and manage ordering and distribution. Manage and complete Customer Prequalification Questionnaires (PQQs) and ensure supporting evidence is up to date.
Audits & Inspections

Carry out and record regular workshop and site safety audits. Conduct weekly fire alarm tests (rotating call points) and monthly emergency lighting checks. Complete monthly site Health & Safety inspections, ensuring any actions are tracked, resolved, and logged. Monitor PAT testing compliance and ensure any non-tested equipment is identified, labelled, and addressed.
Incident & Reporting Management

Manage the non-conformance reporting system, maintaining accurate logs and providing a clear process for staff submissions. Act as the primary point of contact for reporting and investigating accidents and near misses, ensuring proper documentation and follow-up actions.
About You:

Previous experience in a Health & Safety administrative or coordination role, ideally within the construction industry. Strong understanding of UK Health & Safety legislation and industry best practice (IOSH Managing Safely or equivalent qualification desirable but not essential). Excellent organisational skills and attention to detail. Confident communicator with the ability to liaise effectively with site teams, management, and external consultants. Proficient in Microsoft Office (Word, Excel, Outlook) and capable of maintaining digital record systems accurately.
