About Us:



We are a family run hotel with 46 bedrooms, currently undergoing an extensive refurbishment to our bedrooms and common areas. With access to two stunning golf courses, a short walk to the beautiful Loch Leven and lots of local amenities, whether the reason for visiting is a golf, leisure or business trip, the Green Hotel is always a hit. This refurbishment, along with some exciting future plans, has led to the opportunity to recruit an additional Receptionist. Job Overview:



We are seeking a friendly, organized, and professional Receptionist to be the first point of contact for visitors and clients at the Green Hotel. The Receptionist will provide administrative support, manage incoming calls and inquiries, and ensure smooth office or hotel operations. This role requires excellent communication skills, a positive attitude, and the ability to multitask in a busy environment.

Key Responsibilities:



Front Desk Duties:



Greet and welcome guests or clients in a friendly and professional manner.*
Direct visitors to the appropriate department or individual.*
Ensure visitors sign in and out according to company procedures.*
Manage the guest or visitor waiting area, ensuring it remains clean and welcoming.*

Phone and Email Management:



Answer, screen, and direct phone calls to the appropriate departments or staff members.*
Take accurate messages and ensure they are delivered promptly.*
Respond to inquiries via email, providing information or directing them to the appropriate contact.*
Schedule and coordinate appointments and meetings as needed.*

Administrative Support:



Perform basic administrative tasks such as filing, scanning, and maintaining office supplies.*
Assist with booking travel arrangements or accommodations when required.*
Maintain and update office records and systems, ensuring all documents are filed correctly.*
Handle incoming and outgoing mail and packages.*

Customer Service:



Provide information to clients or guests regarding company services, amenities, or products.*
Address any customer complaints or concerns, escalating them to management when necessary.*
Ensure customer satisfaction by offering solutions to any issues that arise.*
Ensure public areas around reception are maintained in a clean and orderly manner.*

Office Coordination:



Ensure smooth communication between departments or team members.*
Assist with organizing company events or meetings as required.*
Ensure the front desk is covered during operating hours, whether through direct management or scheduling shifts.*
Maintain a professional and pleasant demeanour when interacting with guests and colleagues.*

Requirements:



Previous experience as a Receptionist, Front Desk Representative, or in a customer service role is preferred.*
Excellent verbal and written communication skills.*
Proficient in using office equipment (phones, printers, etc.) and office software (MS Office or similar).*
Strong organizational and multitasking abilities.*
A positive, friendly attitude with strong interpersonal skills.*
Ability to handle sensitive information with confidentiality.*
Strong attention to detail and problem-solving skills.*
Ability to work independently as well as in a team-oriented environment.*

Working Conditions:



Full-time or part-time hours, depending on the role.*
Occasional evening or weekend shifts may be required depending on the company.*
A clean, organized, and professional work environment.*
Competitive salary based on experience.*

Job Type: Part-time

Pay: 10.00-12.21 per hour
