An opportunity has arisen at the Bank House Hotel, Spa & Golf Club for a Hotel Sales Coordinator to join the sales team.
You must be attentive, well organised and display high levels of customer service standards. You will display your enthusiasm by delivering on our mission. Excellent planning and organisational skills are essential.
It would be ideal for the suitable candidate to have hotel sales background but not essential.
Key Duties:
Working closely with and reporting to the Meeting & Events Sales Manager.
Maintain and manage the events diary ensuring all bookings are inputted directly upon receipt and updated where necessary.
Establishing client requirements and identifying how the hotel can facilitate their needs
Be fully conversant with facilities, services, and special promotions offered by the hotel and pass this information onto the guest whenever the possibility arises in order to maximise sales
Responding to all Meeting & Event enquiries in-line with company standard
Ensuring enquiries are managed to maximise sales, occupancy, and revenue, including up-selling equipment, F&B and relevant hotel facilities wherever possible
Accurately inputting all enquiries into our Sales and Catering system Rezlynx.
Actioning all enquiries promptly and following up in a timely basis
Compiling accurate function sheets, distributing weekly and discussing with Operations Team, accordingly, proving updates as required
Actively working as part of a team to achieve the department objectives and budget
Take enquiries and bookings in an efficient manner and encourage maximum sales revenue for the overall profitability of the hotel.
Be fully conversant with facilities, services, and special promotions offered by the hotel and pass this information onto the guest whenever the possibility arises in order to maximise sales.
Maintain and manage the events diary ensuring all bookings are inputted directly upon receipt and updated where necessary.
Be familiar with all Meetings and Events Diary Standards of Operation.
Handle all telephone and written enquiries in a polite manner as to availability for potential wedding or function space.
Ensure the complete administration and execution of all planned events.
Effectively communicate ensuring leads are responded to in the required time and regular contact is made to the progress of each booking.
Be able to act with initiative, planning for the future and possible consequences. Be pro-active in getting things done and exceed expectations of both guests and colleagues where possible.
Maintain a chase system and ensure all activities are completed on a daily basis.
Prepare all quotations, proposals and contracts according to the client's requirements and the hotel's standards.
Take the lead for ensuring that all site visits are fulfilled professionally and effectively and mirror the requirements of the visiting client.
Evaluate each individual enquiry to maximise occupancy and revenue for M&E and Room Sales.
Carry out billing procedures accurately and in line with company standards. Ensure the company credit policy is adhered to at all times.
Ensure all brochure requests, information and relevant details requested by clients are sent out.
Organise and participate in Wedding Open Days and Wedding Fayres at the venue. To include some weekends.
