Job Description

We are looking to recruit an HR Administrator as part of our busy, quality-focussed HR team. Whether you are an experienced HR Administrator or looking to develop your career ambition within HR, we have an exciting and rewarding opportunity which provides exposure to both generalist and project-based HR administration across the employee life cycle.



Although experience in HR is desirable, we are looking for a motivated, highly organised and effective team player with a genuine passion about people-related processes and policies and who will make a significant contribution to the overall operational success of our HR team.



Overall purpose of the role

As an effective administration professional and team player, you will support the HR team, our internal and external stakeholders.

You can work autonomously while effectively planning and managing your task load, ensuring deadlines are met.

You enjoy organising everything whether that is people, processes or workloads and have meticulous attention to detail.

You easily follow set existing processes, but you can also see how things can be improved and look for better and different ways to provide services.

You understand the importance that effective and efficient administration brings to the overall operational success of an HR team, specifically:



You understand the role of the HR function and the importance of having streamlined processes and procedures in place to support the employee lifecycle and people management initiatives. You understand standard operating procedures, systems and processes are the foundation of an effective HR administration service but equally, embrace the reactive environment in which HR operates and which may necessitate change. You deliver on time and to a high standard and are not afraid to seek feedback to improve your performance or skill set. You treat all colleagues and stakeholders with respect.
What you will be doing

You will be involved in all aspects of HR administration to help Audit Scotland meet our vision to ensure that public money is spent to meet the needs of Scotland's people.



Providing end-to-end recruitment administration support from vacancy launch to onboarding. Supporting all aspects of the employee lifecycle ensuring accurate and appropriate documentation and records management. This includes carrying out and/or supporting members of the HR team with the administration of appointments and set up of new staff, leavers, employment variations, Disclosure Scotland, right to work and Working Time Regulation checks, references, and monthly payroll variables. Supporting the management of a central HR inbox, ensuring queries are triaged appropriately, while assuming responsibility for responding in a timely manner to any subject matter appropriate policy or process-related queries. Supporting and having an interest in delivering wider corporate objectives, including health, safety and wellbeing initiatives. Providing support to staff on HR systems issues, escalating matters to senior members of the HR team as required. Providing support on specific HR projects which occur on an annual basis, for example, employee personal details checks, annual driving compliance audit, employee health checks, employee survey data collection, records retention, and our holiday review. Collating and analysing workforce data as requested, for example, quarterly Office of National Statistics survey returns. Providing generalist administrative support as required by other members of the HR team (for example, formatting documents as part of our annual policy review cycle). Delivering a high-quality and efficient in-house HR service with ideas on how administration processes may be improved where relevant.
Knowledge and experience

Some of the things we think you will have experience of and which will be useful are:

A genuine interest and curiosity in the HR function, the adaptivity and innovation required in relation to the changing world of work and people management processes. Advanced use of Microsoft packages (Excel, Word and Outlook). Experience of working within a team, organising and prioritising your workload to meet the needs of the HR team and the wider business. Knowledge of information systems (not necessarily HR specific) and how information technology can support our business.
Experience in HR administration would be beneficial, however, if you are looking to develop your skills even further, we can help with this and may support your aspirations.

You may have worked in the public, private or third sectors. Most importantly you can share your forward-thinking ideas on how you can make a difference to supporting our team.

Person specification - specific knowledge and experience

Essential:



Previous experience as an HR Administrator, or similar administration role (S) Excellent written and verbal communications skills allowing you to communicate effectively with individuals at all levels. (S&I) Extensive experience of Microsoft Packages (Excel, Word, Outlook and SharePoint) (S&I) Experience working within a team, organising and prioritising your workload to meet the needs of the team. (S&I&A) Knowledge and Experience of HRM systems (or similar). (S&I)

Desirable:



Experience managing a shared email inbox and responding to employee queries, escalating as appropriate. (I) Knowledge and/or experience of managing employee lifecycle events - such as onboarding and leavers. (I) Experience in the public sector and/or an understanding of the differences between private and public sector. (I)
