Job Description

To provide effective HR administrative support across the employee lifecycle and ensure compliance with policies, procedures, and statutory requirements. The role also includes general administration support to the wider business, ensuring smooth day-to-day operations.

Key Duties & Responsibilities



HR Administration



Coordinate the full new starter process (offers, contracts, BrightHR profiles, induction support).

Maintain and update personnel files, ensuring data accuracy and confidentiality.

Carry out compliance checks (e.g. right-to-work, policy audits).

Keep HR trackers (payroll, probation, appraisals, training, fire drills, H&S records) accurate and up to date.

Manage the leaver process (resignations, return of equipment, exit interviews, systems access removal).

Track and log absence and annual leave, ensuring BrightHR and payroll data are accurate.

Support with probation reviews, performance improvement plans, appraisals, pulse surveys -- ensuring templates are used consistently and records are maintained.

Proactively issue probation review reminders and ensure follow-up is recorded.

Draft and issue internal communications, reminders, and engagement/wellbeing/MHFA updates.

Support employee engagement, wellbeing, and ESG projects.

Refine and support onboarding and leaver processes to improve employee experience.

Run HR reports as required (headcount, turnover, training completion, absence, etc.).

Maintain HR documentation, templates, and document packs.

Provide recruitment administration support (job adverts, scheduling interviews, candidate communication).

Provide benefits administration support (pension, healthcare, cycle-to-work scheme, etc.).

Support employee relations administration, e.g. taking minutes in formal meetings (disciplinary, grievance).

Support crossover tasks with EHSQ (e.g. DSE forms, compliance logs, policy reviews).

Provide a visible HR presence and first point of contact for employees.

General Administration



Raise site-specific purchase orders for EHSQ.

Organise and coordinate training courses, including travel and hotel bookings.

Assist with general travel and accommodation bookings.

Manage ordering and distribution of workwear, uniforms, and equipment.

Liaise with IT to support new starter setups (hardware/software).

Assist with customer and supplier compliance questionnaires and feedback.

Provide office/facilities support (supplies and repairs).

Ad hoc support to the EA and wider Operations team supporting business needs.

Key Skills and Competencies



Strong organisational and time-management skills.

Attention to detail and accuracy in maintaining records.

Excellent written and verbal communication.

Confident user of Microsoft Office (Excel, Word, Outlook) and HR systems (BrightHR desirable).

Ability to handle sensitive information with discretion.

Proactive approach and ability to manage multiple priorities.

Experience



Previous HR administration or general office administration essential.

Knowledge of HR processes preferred.

Experience with HR systems (e.g. BrightHR) desirable.

Job Types: Full-time, Permanent

Pay: 25,000.00-30,000.00 per year
