Overall Purpose





Canford employs in the region of 480 staff and the role of the HR team is to provide a professional and effective human resources function for the whole School ensuring that all practices are compliant with Safeguarding Children and Safer Recruitment in Education requirements and also compliant with employment legislation.



The primary role will be to support the HR team with recruitment and onboarding administration for all staff, as well as others such as governors and volunteers. The HR Administrator will also be required to maintain and update the HR systems including MyCanford, Access Recruit, Access Screening, TELUS Health, TES Develop and any other system which falls into the HR remit


Duties





Recruitment


Monitor the Recruitment email box on a daily basis, answer emails and queries where possible. Deal with any ad hoc requests - eg respond to on spec applications. Follow up on any recruitment enquiries submitted via the website enquiry form Use Access Recruit for progressing the recruitment process ensuring that the system is updated at each stage of recruitment and successful applications are transferred across to My Canford Support the interview process, assisting with the copying of ID documents or management of interview tasks if required Follow up all pre-employment checks (to include DBS check, online search, references, prohibition checks, overseas checks, prohibition from management checks) using Access Screening where appropriate and ensure that these are in place for all new staff prior to their start date and in line with safer recruitment legislation. Prepare offer letters and contracts are in line with the job details and request to employ. Create electronic staff files and ensure all relevant paperwork is included before the person starts. Liaise with the HR Assistant and HR Officers in relation to any queries ensuring that any outstanding requirements are flagged in a timely manner Update My Canford with all new starter information, checking that relevant fields have been completed prior to payroll deadlines Updating the Single Central Register (SCR) with new starters, references and other checks. Send all new staff onboarding information and follow up as necessary.

Administration


Working with the HR Assistant, deal with Visiting Worker requests, ensuring that they are logged on the SCR and accounts notified if necessary Support the wider HR team with administration associated with any changes to staff terms and conditions (eg hours, salary) Provide diary management support to the Director of HR. Process Leaver letters and update My Canford, triggering the leaver workflow and organise Exit interviews as required Ensure that starters and leavers are updated on TELUS Health (EAP) Archiving "Leaver" files Answer staff queries and offer advice and support as required Filing, photocopying, mail shots and other ad-hoc administrative tasks as required Ensure that relevant DBS checks are carried out for visitors and non-employed residents living on site

Knowledge / Experience




Educated to A'level standard or equivalent (D) Administration qualification or equivalent (D) Excellent administration skills (E) Secretarial and/or administrative experience (E) High degree of computer literacy, including MS Office and use of databases (E) High standard of written English (E) Experience in the education sector (D) Experience of working in an HR department (D) Excellent written and oral expression (E) Good telephone and office manner with the ability to deal with enquiries in a professional manner (E) Ability to organise and manage a busy workload (E) Ability to prioritise effectively and manage conflicting demands (E) Professional approach and ability to communicate effectively with staff and members of the public (E) Works well under pressure E) Professional discretion (E) Organised, able to manage time effectively (E) Keen eye for detail (E) Proactive approach (E) Flexible and adaptable (E) Friendly and approachable (E) Flexible approach to work (E)
