Role Purpose



The HR Assistant will play a vital role in supporting the HR Business Partners with the delivery of efficient, accurate, and professional HR administration services. This role ensures the smooth running of day-to-day HR processes, supporting both internal operations and client needs. The position requires strong attention to detail, excellent organisational and communication skills, and the ability to manage multiple tasks in a fast-paced environment.

Key Responsibilities

HR Administration

Provide day-to-day administrative support to the HR Business Partners. Prepare, format, and upload HR documentation to DocuSign for client and employee signatures. Process employee lifecycle administration, including setting up new starters, processing leavers, and managing associated documentation. Administer client HR software systems (e.g., Breath HR) by updating employee records, inputting data, and generating reports. Issue HR-related documentation, letters and contracts in line with client requirements and templates.

Payroll Support

Collate and issue accurate payroll information to clients' payroll providers. Ensure all payroll-related changes (e.g., starters, leavers, salary adjustments, benefits) are captured and communicated on time.

Client & HRBP Support

Act as a first point of contact for general HR administrative queries, escalating as appropriate to HR Business Partners. Support HR Business Partners in preparing documentation for employee relations cases, recruitment, and HR projects. Assist with producing reports, statistics, and trackers as required.

Systems & Record Management

Maintain accurate and up-to-date HR files, systems, and databases. Ensure confidentiality and compliance with GDPR and internal data protection policies. Regularly audit records to ensure consistency and accuracy.

Ad Hoc & Project Work

Provide administrative support for HR projects and initiatives. Undertake other reasonable duties requested by HR Business Partners to support the wider HR function.

Key Skills & Attributes

Strong organisational skills with the ability to prioritise workload effectively. High attention to detail and accuracy. Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint). Familiarity with HR software systems (e.g., Breath HR) desirable but not essential. Excellent communication skills, both written and verbal. Ability to maintain confidentiality and handle sensitive information with discretion. Proactive, reliable, and able to work independently as well as collaboratively within a team.

Experience & Qualifications

Previous experience in an HR administrative or support role desirable but not essential. Strong administration experience in a busy office environment essential. Knowledge of basic HR processes and employee lifecycle advantageous. CIPD Level 3 (or willingness to study) desirable but not required.
