Circa 24,341 per annum (Full Time Equivalent)



Hours: 20 Hours per week / ideally 4 or 5 days per week.

Purpose and impact



The HR Assistant will play a pivotal role in providing day to day administrative and operational support on behalf of the People function. They will deliver efficient and effective HR services across the organisation, supporting candidates, employees, volunteers and managers throughout the entire employee lifecycle, including recruitment, onboarding, preparation of paperwork, providing basic policy advice, maintaining employee records and systems and administering all other people related processes as required. The role will support the People Shared Services Manager to enhance employee experience and improve operational efficiency.

Part of the team



The role reports directly to the People Shared Services Manager (PSSM), working as part of a small team to deliver effective centralised services. The role will work in collaboration with the L&D Coordinators, People and Culture Partner and Director for People in delivering the People Strategy for the next 3 to 5 years.

The role may require some ad hoc travel to our local retail stores and hospice to support with minute taking.

Core Responsibilities



HR Service & Systems



Maintain HR and People related spreadsheets and other sources of information, consolidating data sheets.

Support the data collation process for payroll, such producing absence, new starter, leaver and change reports, using internal systems.

Work with the PSSM to continuously assess and optimise HR processes and our HR system, maximising automation and workflows to improve efficiency and ensure consistency in service delivery.

Prepare and digitally deploy all 'People' related paperwork, including contracts, offers and employee letters.

Support candidates, employees, volunteers and managers with systems access, use and ongoing training.

Talent Management



Support the end-to-end recruitment process including posting job adverts, shortlisting, scheduling interviews, managing candidate communications and undertaking reference and DBS checks as required.

Building our Brand with the development and maintenance of our Career Site and other people related content.

Supporting the PSSM to develop the recruitment process, fully utilising systems, creating support resources and providing manager guidance, to improve candidate experience and increase application interest.

Support the PSSM to design and deliver a 'best in class' onboarding and induction process that supports employees to become part of KHH from day 1.

Support the PSSM to design and deliver a 'best in class' performance management process through our HRIS that drives operational effectiveness and talent development.

Design and implement effective offboarding processes to capture key trends and feedback to drive continuous improvement and increase retention.

Policy Development & Employee Relations



With the support of our external helpline, provide basic policy and employee relations advice to managers, escalating more complex matters to the PSSM.

Support with updating policies and procedures and communicating these to all employees.

Preparing letters, taking minutes at meetings, saving documentation and updating internal case logs.

Culture, Benefits & EDI



Promote a healthy working environment, organising and embedding health and wellbeing initiatives for the organisation.

Contribute to employee engagement initiatives and assist with organising internal events.

Demonstrate Equality, Diversity and Inclusion in all HR service activities to support an inclusive culture at KHH.

Support the administration and communication of organisational benefits (including reward and recognition initiatives), maximising uptake and simplifying administration.

Compliance and Committee



Maintain all People related storage systems e.g. personnel files, volunteer records, ensuring compliance with GDPR and other legislation and regulation.

Support the PSSM in taking minutes and preparing papers and reports for organisational People committees and forums.

Other



Support on other HR and People initiatives or administration in line with the People and organisation strategy.

This list is not exhaustive as the role will continue to evolve with the organisational needs.

Who the role may suit?



The role would suit either a recent graduate within a HR discipline, someone recently starting out in a HR field who is looking to build their HR career or someone with HR experience either directly or from a general admin setting that is looking for a change of pace and better work life balance.

Skills and experience



What are we looking for?



Willingness to:



Travel occasionally to our other local sites to support managers and employees, using own vehicle

Need to have:



CIPD Level 3 or equivalent or working towards highly desirable

Experience in a similar HR role or academic experience

Experience in a previous administration role

A high degree of competence with all Microsoft packages

Experience of working in a confidential setting highly desirable

Employee relations advisory experience highly desirable

Experience of working with all levels of stakeholder

Access to own vehicle for occasional travel

Experience of operating a HRIS is highly desirable
