Propworks is a creative and forward-thinking team based in south east London. Together we design, make, and source props; primarily for theatre and live events.
We are looking for a HR & Finance Administrator to provide essential support to our senior team in their management of staffing, company policy and compliance, and accounting procedures. Propworks is a fast-paced work environment, with the team working across multiple productions and projects at any one time.
The role requires an individual who is personable, patient, and keen to problem-solve. Good time-management and organisational skills are key, as is attention to detail. A background in arts administration, or HR and finance in a creative company setting, would be of benefit but is not essential. If this sounds like you, we'd love to hear from you.
Responsibilities
Drafting and issuing staff contracts and other HR-related paperwork;
Maintaining accurate staff records, ensuring sensitive data is handled and stored appropriately;
Supporting administration for monthly Payroll, promptly submitting information to Propworks' accountants;
Assisting with the management of Propworks' NEST pension scheme;
Keeping our Bookkeeper informed of staff changes, specifically in relation to company credit card usage;
Managing payments made daily via PayPal and eBay;
Helping with the daily management of our invoices inbox;
Inducting new staff in accounting processes, including receipt reconciliation, and associated software;
Maintaining accurate, up-to-date records of staff Leave and Sickness;
Scheduling Staff Reviews and other HR-related meetings, taking and distributing minutes as instructed;
Handling other HR and Finance related correspondence, such as staff-wide memos, as instructed;
Assisting with updates to Propworks' company policies and Staff Handbook/s;
Understanding and supporting team-wide deadlines, budgets, and project priorities through your work;
Performing any other administrative tasks, as required
Experience
Essential:
Working knowledge of receipt reconciliation processes and associated software;
An understanding of different types of contract; for employees, workers, self-employed and contractors;
Proficient in use of Microsoft Office applications and Google Workspace (formerly Google Suite);
Experience of handling sensitive and confidential data in the appropriate manner;
An approachable and patient manner;
Superb attention to detail;
Excellent time-management and prioritisation skills;
Strong interpersonal and communication skills;
Confident in multi-tasking in a fast-paced environment;
Adaptable and reliable
Desirable:
Holding, or working towards, an AAT (or similar professional body) qualification;
Holding, or working towards, a CIPD (or similar professional body) qualification;
Previous experience in a Finance & Accounts role;
Previous experience in a Human Resources or people management role;
Working knowledge of Hubdoc and / or Xero;
Working knowledge of Payroll processes, including pension scheme contributions;
Working knowledge of UK GDPR;
Familiarity with Risk Assessments and Health & Safety procedures in the workplace;
A background, or general interest, in the arts industry

15-22.5 hours per week.
Propworks' standard working hours are Monday to Friday, 9am to 5.30pm. We will consider flexible working arrangements.
Location:
Propworks studio (SE15 1NP). We are open to discussing Hybrid working.
