Hours: 28 hours per week (4 days per week to be worked flexibly)



Salary: 20,166 per annum (25,207 FTE)



Location: Garwood, South Croydon (working across all sites)

We operate over five sites including the Bramley Hill Day Centre, Jean Garwood House Care Home, and Rutherford School, as well as two charity shops.

The Role:



We are seeking a motivated and well-organised HR/Finance Administrator to provide essential administrative support to both our HR Officer and Finance Manager. This is a varied and rewarding role, ideal for someone with strong attention to detail and an interest in both HR and finance functions within the charitable or care sector.

Key Responsibilities:



HR Support:

- Assist with recruitment administration, including advertising roles, arranging

interviews, and preparing onboarding paperwork.

- Maintain and update staff records, including training, attendance, and DBS checks.

- Support the onboarding process by coordinating pre-employment checks, including verifying right to work, processing DBS applications, and obtaining employment references in a timely manner.

- Support the payroll preparation by maintaining accurate employee data.

- Issuing of contract, offer letters, and contract variations using templates.

- Partaking in the note taking of employee meetings, including but not limited to disciplinaries, grievances, absence management reviews, welfare meetings, and investigations.

- Overseeing absence management on our HRIS BrightHR.

- Contributing to the ongoing efforts to digitalise Garwood in all aspects.

Finance Support:

- Prepare and process invoices and purchase orders accurately and in a timely manner.

- Assist with monthly reconciliation and data entry into finance systems.

- Maintain filing systems for financial records and documentation.

- Work collaboratively with the Finance Manager and HR Officer to resolve payroll queries.

- Maintain accurate financial records and ensure all documents are uploaded to Xero.

- Regularly report and maintain accounts payable function in Xero. Uploading invoices to Xero through Dext.

- Support month-end and year-end closing processes.

- Update financial spreadsheets and databases.

- Assist with payroll processing and reporting.

- Respond to internal and external finance-related inquiries.

- Ensure compliance with company policies and relevant financial regulations.

- Provide administrative support to the finance department as needed.

General Duties:

- Maintain confidentiality and handle sensitive information with professionalism.

- Ensure all tasks are carried out with attention to detail and in a timely manner.

The duties and responsibilities outlined above are not exhaustive. The postholder may be required to undertake additional tasks sand responsibilities, as reasonably required, in line with the needs to organisation and the evolving nature of the role.

Person Specification:



- Previous experience in HR or finance is desirable, but not essential.

- A clear interest in working in HR or finance.

- Excellent organisational and time-management skills.

- Excellent knowledge of Microsoft Office (Excel, Work, Outlook)

- Numerate and detail-oriented with good written and verbal communication skills.

- Ability to handle confidential information with discretion and integrity.

- A team player with a flexible, can-do attitude.
