To support the site team in day-to-day HSE related administration, and coordination of the HSE department and its activities.
Key Responsibilities
> Provide general administrative support to the HSE Manager and HSE team members.
> Handle incoming HSE enquiries and liaise with external stakeholders where required
> Support the HSE Manager with the scheduling of internal/external meetings and keep a record of meeting minutes and distribution.
> Assist in the preparation, filing and organisation of safety related documentation, ensuring confidentiality of sensitive safety related information.
> Assist the HSE Manager in preparation of HSE related presentations and achieving HSE reporting deadlines.
> Assist in the organising, tracking and completion of Active Monitoring, Workplace Monitoring and Life Saving Rule Inspection activities/records.
> Maintain the site Risk Radar with support from HSE team members.
> Maintain HSE team's channel on Microsoft TEAMS.
> Distribute site correspondence and internal HSE communications, tracking and filing records of briefings.
> Support in the tracking and calibration of HSE / safety critical equipment .
> Support with HSE campaigns and initiatives
> Support procedure review / updates
> Support in the preparation of external audits
> Support KAEFER UKI HSE Governance with Prequalification Questionnaires when required
> Support the site team with ASSURE and SYPOL tasks
> Provide support to the site teams in the use of HSE digital systems
> Assist site with general administrative duties as and when required.

Ability to plan, prioritise and organise own workload (Essential)

Professional in approach to dealing with issues and employees. (Essential)
Appreciation of confidentiality and discretion (Essential)
Ability to handle multiple tasks, work as part of a team and meet deadlines (Essential)

Proficient in Microsoft Office suite (Essential)
Excellent information sharing ability and able to adapt to audience (Essential)
Requirements of role:
Good level of understanding and knowledge of HSE legislation and codes of practice. (Desirable)
Can demonstrate understanding of sharepoint / online management system software / action tracking (Desirable)
Can demonstrate experience in HSE or construction / heavy industry related environment (Desirable)
Experience of dealing with HSE management systems and processes (Desirable)
A relevant administrative qualification/or equivalent experience (Essential)
Health and Safety coursework or qualification (Desirable)
