The Installation Coordinator reports into the Projects Office Manager and serves as the vital bridge connecting our Sales team with our valued customers. Our primary responsibility lies in planning and administration within the Installations department, we are also known for our adaptability, ensuring project delivery within schedule and budget.
This role demands a proactive and positive demeanour, as well as exceptional interpersonal skills when dealing with both internal and external customers.
Key Responsibilities
Efficient Resource Allocation
Optimise the use of engineers' time by carefully planning and allocating resources such as time, equipment, and skillsets, minimizing downtime and wasted journeys. Ensuring we use consistent engineers with a nominated lead, to ensure efficient completion of the job.
Project Data Entry and Maintenance
Accurate job costing and status tracking.
Engineer Documentation Oversight
Ensure that all required engineer documentation, including survey risk assessment forms, specifications, costing sheets, pick sheets, drawings, key holder forms, police hazard forms, and signed contract review forms, are complete and accurate to support productivity and mitigate issues.
Job Kitting Management
Enter all job kitting details onto the electronic picking sheet and promptly inform the Stores department to ensure timely availability of materials. Product availability tool to be utilised in CASH, to ensure we are using equipment that we have in stock before ordering.
Customer and Contractor Communication
Contact customers and contractors to plan installation dates or 1st/2nd fix appointments, and keep planners updated with the latest scheduling information and Commissioning dates when necessary.
Job Completion
Ensure engineers return their completed job packs and close jobs.
Service Level Achievement
Strive to achieve and exceed the service levels for installations and monitoring, ensuring customer satisfaction.
Problem Resolution
Understand the full requirements of each installation and investigate the root cause of any points of failure, working to resolve issues effectively.
Clear Communication
Communicate clearly and effectively through all communication channels to efficiently manage post-installation customer issues.
Post-Install Reporting
Report on post-installation issues and make recommendations on process improvements and addressing points of failure.
Revenue Maximization
Support the business in maximizing revenue and identifying opportunities for securing maintenance contracts and additional services.
Trend Analysis
Continuously track and analyse installation trends and make suggestions for process improvements based on data-driven insights.
Additional Responsibilities
Daily updates on the installations forecast ensuring we maximise the revenue for each month and keep our data as accurate as possible.
Ownership of your own jobs/small projects from start to finish, ensuring a smooth delivery process to the client by being their main point of contact. Discuss/Share jobs out between coordinators fairly.
Small work/Run Rate stock ordering including researching project pricing, researching suppliers with the best lead times.
Job costing maintenance and clean up including products and direct costs are issued accurately on completion of jobs with PO's closed and sub-contractor invoices closed on time.
Month End invoice closures for stock, and suppliers to be done efficiently throughout the month to avoid a build-up.
