The Role
We are seeking a highly organized and detail-oriented Administrative Assistant to join our dynamic team. The candidate will perform all the Teams key administrative tasks including booking extensive international travel, preparing, submitting, and monitoring expense reports and vendor payments for team members. In addition the role involves conceptualizing, planning, executing and managing events including client workshops, conferences, exhibitions and social client events. This activity will also require budget management and the ability to maintain and update the clients data base (Salesforce) and mailing lists. The role requires strong communication skills, the ability to multitask and work under pressure. The successful candidate will provide vital support to our London, Geneva and Madrid based teams daily operations and ensure the smooth execution of events across Europe and various administrative tasks and travel arrangements. This is an excellent opportunity for someone with a passion for a dynamic admin role, event management, travel booking, requiring exceptional organizational skills, and a keen eye for detail.
What will you be doing?

  • Coordinating and managing all aspects of international travel arrangements, including flights, accommodations, visas, transportation, itinerary planning for executives and team members
  • Preparation and processing of expense reports
  • Processing and monitoring of business invoices
  • Ensuring compliance with company policies and procedures related to travel, including expense reporting and travel approval processes
  • Handling general administrative duties, such as answering phone calls, responding to emails, preparing/maintaining materials
  • Managing calendars, scheduling appointments, and handling meeting logistics for senior executives
  • Collaborating with various departments to schedule and coordinate virtual and on-site meetings, conferences, and events, both domestically and internationally
  • Meeting management, preparing agendas, collating information from stakeholders, minute taking and following up on actions
  • Assisting with the preparation of customised presentation materials, reports and other documents for client meetings and as required
  • Maintaining and organizing confidential files and records, ensuring efficient and securing access to information
  • Assist in the preparation of sales pipeline and activity reporting
  • Assist with the on-going update and management of the client relationship database
  • Conducting market and sales channel research and providing support for special projects, as assigned
  • Conceptualizing, planning, executing and managing events including client workshops, conferences, exhibitions and social client events
What were looking for:
  • Previous relevant professional experience from a similar role gained with financial services, ideally within Investment Management. Executive Assistant or Personal Assistant experience would be beneficial.
  • Exceptional communication skills, both written and verbal, with the ability to interact professionally with individuals at all levels, internally and externally
  • Strong organizational skills and the ability to prioritize tasks effectively, while maintaining attention to detail
  • Proficiency in travel management systems and tools, as well as proficiency in Microsoft Office Suite (Word, Excel, Outlook and PowerPoint)
  • Excellent problem-solving skills and the ability to think critically and make decisions independently
  • Flexibility and adaptability to handle changing priorities and work in a fast-paced environment
  • Ability to maintain confidentiality and handle sensitive information with integrity
  • Must be able to work both independently and as a team, and adapt to various needs of executives and team members
