About the Role



We are seeking a highly organized and proactive

Invigilation Officer

who will be responsible for all activities related to Invigilation support for the examination deliveries across the business, including in-person paper-based and computer-based assessment, as well as remote and overseas deliveries.

Key Responsibilities



Invigilator Recruitment:

Support proactive planning to ensure sufficient invigilation staffing levels across the UK and internationally. Focus recruitment and training efforts in line with future delivery needs.

s & Handbook:

Draft and regularly update job descriptions, person specifications, and the Invigilator Handbook, covering expected conduct, procedures, and escalation processes.

System & Record Management:

Maintain accurate and up-to-date invigilator records on Parim, removing inactive profiles and ensuring only exam-ready staff are listed.

Recruitment Events:

Organise and deliver recruitment and selection days in key geographic locations to attract and onboard qualified candidates.

Compliance Coordination:

Liaise with HR to ensure all invigilation staff meet right-to-work and visa compliance requirements.

Training Development:

Create and maintain training materials tailored to client-specific needs, in collaboration with the Examination Delivery team.

Training Delivery:

Organise and deliver in-person training sessions and annual refreshers across the UK, ensuring invigilators are informed on the latest policies and procedures.

Training Records & Gaps:

Maintain detailed training records, identify knowledge gaps, and coordinate targeted interventions where needed.

Regulatory Awareness:

Stay informed on relevant legal changes, including safeguarding and health & safety, and update internal documentation accordingly.

Shift Scheduling:

Set up and manage invigilation shifts on Parim for each exam delivery, ensuring coverage across all locations.

Risk Reporting:

Identify and report any anticipated shortfalls or risks related to invigilator coverage by location or delivery.

Team Communication:

Ensure accurate, timely information is communicated to confirmed invigilation teams via appropriate channels.

Attendance & Payment Support:

Maintain accurate attendance records to support payment reconciliation and scheduling, and assist Finance with any related queries.

Feedback & Improvement:

Collect invigilator feedback post-delivery and share relevant insights with internal teams to support continuous improvement.

Qualifications:



Essential:

Educated to an A-Level standard, or equivalent working experience.

Desirable:

Training qualification PTLLS equivalent

Training or qualification in people management or HR best practice

Experience:



Demonstrable experience in planning and coordinating recruitment and/or training logistics, preferably in a education or assessment related environment. Involvement in creating or maintaining procedural documentation or handbooks Experience delivering training or onboarding for temporary/contract staff Experience with workforce scheduling tools (e.g., Parim, rota software) Proven ability to manage multiple projects or delivery cycles across different locations
