About the Role




We are seeking a meticulous and proactive IP Formalities Administrator to join our team. You will work closely with IP attorneys and legal professionals, ensuring all procedural requirements are met throughout the lifecycle of IP filings. Your role will be crucial in supporting the effective management of intellectual property rights by ensuring the accurate and timely execution of formalities processes, maintaining compliance with national and international IP regulations, and managing documentation and deadlines.

Key Responsibilities



Prepare, file, and manage IP applications and renewals across multiple jurisdictions. Monitor and maintain IP deadlines using internal systems and databases. Ensure compliance with formalities requirements of UKIPO, EPO, WIPO, and other relevant IP offices. Liaise with internal stakeholders and clients to coordinate filings and respond to formalities queries. Maintain accurate records of IP portfolios, including status updates and documentation. Process official correspondence and legal documents related to IP filings. Support audits and reporting activities by providing up-to-date portfolio data. Stay informed of changes in IP regulations and procedures to ensure ongoing compliance.

What We're Looking For



Prior experience in an IP formalities or administrative role within a legal or IP-focused environment. Experience working with case management systems. Proficient in Outlook, Microsoft Word, Excel, and PowerPoint. Excellent written and communication skills. Formal IP training or certification (CIPA or CITMA) is preferable.
