Job summary



Foyleside Family Practice is looking for a motivated, adaptable and well-organised person to join our very busy GP surgery. We pride ourselves on delivering accessible, high quality healthcare and you will provide IT and administrative support to our clinical and non-clinical teams.

Working in a busy surgery environment can be much pressured for which you will need excellent communication, interpersonal, and time management skills. You will need to be motivated and assertive, enjoy multi-tasking and be able to work to frequent, tight deadlines. Experience of IT problem solving is essential.

Your ideal background will be in IT support/administration that requires confident, autonomous working, forward planning and a proactive attitude.

Main duties of the job



The role is responsible for taking the lead in all aspects of IT across the Practice from drafting associated Standard Operating Procedures (SOPs) technical support, IT user management, implementing new software and supporting patients in online records access. Administrative support with patient recalls, clinical template and protocol development.

Confidentiality is key to this job role. The surgery works within established protocols ensuring compliance with all mandatory regulations including (but not exhaustive); General Data Protection Regulations (GDPR), Data Protection Act.

We are a friendly, dynamic and forward thinking GP practice whose clinical team includes GPs, GP trainees, an ANP, Pharmacists, FCPs, Social worker, Mental Health practitioner, Practice Nurses, Treatment Room Nurses, Healthcare Assistant and a Counsellor. We are also a training practice and host medical students from QUB and UU.

The practice has 11000 patients.

We are member of a GP federation.

Job description



Job responsibilities



The following are the core responsibilities of the IT Administrator. On occasions there may be a requirement to carry out other tasks which are listed below under Secondary responsibility. This will be dependent on factors such as workload and staffing levels:

a. To provide General IT technical support across the practice.

b. Maintain the IT Asset Register, liaising with IT Support regarding repairs and replacements.

c. Draft SOPs pertaining to IT procedures and ensure their dissemination and implementation.

d. Liaise with the Practice Manager to ensure IT related procedures are carried out with regard to on-boarding new users

e. Liaise with the Practice Manager to deliver the IT aspects of the induction programme for staff and students and ongoing training as necessary for all practice staff.

f. Process applications for online access, supporting patients where necessary.

g. Assist the QOF Administrator with recall administration as well as clinical template and protocol development.

h. Assist the Practice Manager in the practical and administrative aspects of Information Governance.

i. Collate and report on survey results as required.

j. Maintain a clean, tidy, effective working area at all times.

k. Support all staff with general tasks as requested (appropriate to role)

l. Undertake all mandatory training and induction programmes.

m. Participate in formal appraisal on an annual basis including interim reviews to ensure objectives are achieved and relevant training undertaken.

In addition to the primary responsibilities, the IT Administrator may be requested to:

a. Participate in practice audit as directed by the audit lead.

b. Assisting the Practice Manager in delegated tasks.

c. Cover for other non-clinical roles in times of unexpected, high staff absence.

Qualifications



Essential



Educated to GCSE level or equivalent. GCSE Mathematics & English (C or above).

Desirable



Medical Terminology qualification or equivalent experience.

Experience



Essential



IT support/technical experience- minimum 2years Experience in processing sensitive and confidential data.

Desirable



Experience of working with the general public. Experience of working in a health care setting.

Skills



Essential



Excellent communication and interpersonal skills. Strong IT skills including Office and Outlook. Effective time management (Planning & Organising) Ability to work as a team member and autonomously. Problem solving & analytical skills. Ability to follow policies and procedures.
