Job Summary




Were looking for a proactive and detail-driven IT Administrator to support our IT operations and client services. In this role, youll take ownership of IT procurement and order management, raising quotes, securing competitive pricing, processing purchase orders, and managing goods receipts.


Youll also handle end-to-end order logistics, from placing supplier orders to booking couriers and ensuring timely, accurate system updates. On the client side, youll manage software licence portals and respond to portal requests, keeping customers informed every step of the way. Key Accountabilities




Procurement & Order Management


Raise quotes for clients by liaising with key suppliers to find the best pricing for IT equipment. Place orders with suppliers and ensure all purchases are accurately recorded in the Order Management System. Generate and manage Purchase Orders (POs) and goods receipts to track purchases and deliveries. Book couriers for order collections or deliveries to ensure timely shipment and receipt of goods. Log received deliveries into the Order Management System to maintain accurate inventory records.
Licensing & Client Portal Management


Manage software license portals for clients, ensuring proper allocation, renewals, and compliance. Receive and action client requests from the Client Portal, ensuring all tasks are completed efficiently. Keep clients updated on task progress and order statuses, ensuring transparent communication. Monitor and manage tasks to ensure they are completed within agreed SLAs and KPIs.
Reporting & Documentation


Compile and analyse data to prepare weekly/monthly client reports, providing insights into performance and service delivery. Assist in the preparation of reports, presentations, and other business documents, ensuring accuracy and confidentiality. Maintain accurate records by filing important documents and managing administrative systems efficiently.
General Administration & Communication


Perform general administrative duties, including email management, document filing, and handling shared inboxes. Support the internal IT team, suppliers, and subcontractors by ensuring effective communication and collaboration. Develop strong working relationships with customer contacts to enhance service quality and responsiveness. Contribute to company objectives by consistently meeting personal performance targets and assisting in additional administrative tasks as required.

About you:




Essential


Proven work experience as an IT administrator or similar role. Experience in supply chain management or related field is preferred. Ability to follow verbal and written instructions. Strong communication skills and desire to work with other team members. High school diploma or equivalent preferred. A very analytical mind, able to tackle a problem from different angles and make decisions quickly. Ability to prioritize and execute tasks in a high-pressure environment and make sound decisions in emergency situations. Ability to present ideas in business-friendly and user-friendly language. Highly self-motivated and directed. Keen attention to detail. Ability to effectively prioritise and execute tasks in a high-pressure environment. Exceptional customer service orientation.
Desirable


Experience Working with ServiceNOW, tasks and incidents from creation to closure.
