Softme Limited is a UK-based software and data-solutions company specialising in HR management systems, data analytics, and digital transformation. Our flagship platform, SoftmeHR, helps small and medium-sized enterprises (SMEs) manage recruitment, compliance, and workforce reporting efficiently and in compliance with UK Employment Law.
In addition, Softme Limited is expanding its data innovation portfolio through projects such as VillageBook -- a socio-economic data platform for regional development -- and ReturnRide, a mobility app connecting drivers and passengers for fuel-efficient return trips.
Purpose of the Role
The IT Business Analyst will play a central role in aligning business needs with technology solutions across multiple platforms -- including SoftmeHR, VillageBook, and ReturnRide. The role involves analysing requirements, designing workflows, managing data structures, and ensuring that all solutions meet operational goals and regulatory standards.
This is a highly collaborative position working with software engineers, UI/UX designers, data teams, and business stakeholders to deliver reliable, data-driven, and scalable products.
Key Responsibilities
1. Business & Data Requirements Analysis
Engage with stakeholders to gather, analyse, and document business, functional, and non-functional requirements.
Conduct feasibility and gap analyses for the SoftmeHR, VillageBook, and ReturnRide systems to identify process improvements and automation opportunities.
Apply analytical methods to interpret user needs, transaction patterns, and system performance data.
2. Process Mapping & System Design
Develop "as-is" and "to-be" process flow diagrams for HR, recruitment, and compliance modules.
Translate business requirements into structured technical specifications, data models, and workflows.
Work with developers and architects to design scalable database structures (PostgreSQL/MySQL) and API integrations.
3. Documentation & Reporting
Prepare Business Requirement Documents (BRDs), Functional Design Documents (FDDs), and User Stories in line with Agile methodologies.
Support management reporting and performance dashboards using SQL, Excel, and Power BI.
Maintain clear documentation of all process and system changes for audit and governance purposes.
3. Product-Specific Responsibilities
SoftmeHR:
Map HR processes (onboarding, attendance, leave, and compliance) into modular system features and dashboards.
VillageBook:
Design and maintain database schema for hierarchical administrative data (country, division, district, sub-district, and village-level entities).
o Analyse and model community, education, health, and local governance data to support reporting and decision-making.
ReturnRide:
Define business logic for trip matching, user management, and ride booking workflows.
o Analyse driver/passenger usage data to optimise route recommendations and improve matching accuracy.
4. Quality Assurance & UAT
Define and execute test cases for system validation and user acceptance testing (UAT).
Verify data accuracy, process functionality, and performance against specified requirements.
Recommend continuous improvements to enhance data reliability and system usability.
5. Data Governance & Compliance
Ensure all system processes comply with the
UK Data Protection Act 2018
and
GDPR
.
Support automation of document control and right-to-work expiry notifications.
Maintain secure data management and audit tracking across all modules.
Key Skills & Qualifications
Education:
University Degree in Data and/or Business Analysis, or a closely related discipline.
Technical Skills:
Experience in business process analysis, data validation, and system documentation.
Knowledge of relational databases (PostgreSQL/MySQL) and API-based integration.
Proficiency with Excel, SQL, and Power BI for reporting and analytics.
Familiarity with Agile/Scrum tools such as JIRA and Confluence.
Understanding of data integration, entity relationships, and workflow automation.
