Job Description


IT Project manager required on a part time basis (3 days per week) for a UK based leading large print publishing house on an initial 12-month fixed term basis.

The IT Project Manager takes full responsibility for the definition, approach, facilitation and satisfactory completion of medium-scale projects. Adopts appropriate project management methods and tools. Manages the change control process and assesses and manages risks. Ensures that realistic project plans are maintained and delivers regular and accurate communication to stakeholders. Ensures project and product quality reviews occur on schedule and according to procedure. Ensures that project deliverables are completed within agreed cost, timescale, and resource budgets, and are formally accepted by appropriate stakeholders. Monitors costs, times, quality and resources used and takes action where performance deviates from agreed tolerances.

Key Duties and Responsibilities:

Project Management (70%)

  • Provides effective leadership and autonomy for all IT Projects in the company.
  • Takes responsibility for the definition, documentation and safe execution of small to medium-scale projects, engaging with stakeholders and actively participating in all phases of the project. Identifies, assesses and manages risks and issues which could affect the success of the project. Ideally the suitable candidate will have experience providing strategic direction on business IT projects.
  • Effectively estimates costs, timescales and resource requirements for the successful delivery of the project(s) to agreed terms of reference.
  • Ensures that realistic project and quality plans are prepared and maintained and tracks all activities against the plan, providing regular and accurate reports to stakeholders, as appropriate.
  • Monitors costs, timescales and resources used, and takes action where these deviate from agreed tolerances. Ensures that delivered systems are implemented within these criteria.
  • Manages the change control procedure and ensures that project deliverables are completed within planned cost, timescale and resource budgets, and are signed off. Gains agreement for revisions to the project(s) from project sponsors and other stakeholders (e.g. design authority, project board, change authority) as appropriate.
  • Ensures that own projects are formally closed and, where appropriate, subsequently reviewed, and that lessons learned are captured, actioned and reported to the appropriate organisational entities for dissemination towards organisational learning and improvement. Produces appropriate documentation to support these processes.
  • Evaluates and makes recommendations/decisions on technical options as appropriate.
Demand Management (20%)
  • Provides advice to help stakeholders adopt and adhere to the agreed demand management approach. Reviews new business proposals and provides advice on demand issues. Works with business representatives to agree and implement short-term and medium-term modifications to demand.
  • Analyses the business goals and objectives to identify key business demands and stresses, resulting from the organisation\xe2\x80\x99s business environment and risks that may influence strategic demand management decision making. Create an agreed outline of typical user demand for service, including peak periods and specific events.
  • Maintains a register of business requests and routes requests to the right place. Reports on the status of each request.
Portfolio, Programme and Project Support (10%)
  • Accountable for definition of standards for the support of portfolios, programmes, and projects.
  • Supports the setting up of individual project, programme, and portfolio processes and procedures. Ensures that in depth advice and support is available to strategic projects.
  • Provides generic and specific support for the development and content of business cases, project, programme or portfolio plans, and review and audit reports.
  • Provides a cross programme view to ensure consistency and ensure that impacts or effects between projects within a programme are properly handled.
Benefits Management (10%)
  • Monitors outcomes in terms of benefits against what was predicted in the business case, and ensures that all participants are informed and involved throughout the change programme and fully prepared to exploit the new operational business environment once it is in place.
  • Leads activities required in the realisation of the benefits for each part of the change programme.
  • Develop, or contribute to the development of, a Benefits Realisation Plan for investment outcomes. Ensure each plan identifies and documents baseline and target measurements to be achieved, the method for measuring key outcomes, the accountability for achieving them, the expected delivery schedule, and the monitoring process to be followed.
  • Monitors project and/or programme funding and expenditure, identifying business case viability risk at an early stage and recommends appropriate mitigating action to senior management.
  • Identifies specific measures and mechanisms, by which benefits can be measured and monitored, and plans to activate these mechanisms at the required time. Recognises issues that may help or hinder the change and works with others to tackle them.
Salary: The salary for this permanent position is up to \xc2\xa350,000 \xe2\x80\x93 \xc2\xa360,000 per annum on a pro rata basis. The organisation has an excellent benefits package and offers flexible working opportunities for the right candidate.
