The IT Systems Co-ordinator is responsible for overseeing the daily operations and maintenance of the organisation's CRM system and infrastructure. This role ensures the efficient functioning, security, and reliability of the IMIS Engagement Management Software system. Working closely with internal teams and external vendors, the IT Systems Co-ordinator supports the delivery of technology solutions that align with business objectives, troubleshoot technical issues, manage system upgrades, and contribute to the strategic planning of IT services. The position plays a key role in ensuring minimal downtime, optimising system performance, and maintaining data integrity and security.
Scope of Role
The post holder does not have budget or line management responsibilities.
Key Responsibilities
1.
Provide support and guidance on the use of the Customer Relationship Management (CRM) system to all departments and staff.
2.
Deliver IT assistance to staff and departments.
3.
Support the Director of Finance with IT-related tasks and other duties as required.
4. Consistently demonstrate the organisation's core values and uphold high standards of customer service in all interactions.
The following list, though not exhaustive, comprises tasks which are likely to be essential in the performance of the job.
1. Provide Engagement Management Software (EMS) assistance and support to Functions and staff.
1.1 Hold regular meetings with the managers and principal users to ensure that the investment in existing systems and technology is used to its full potential and can provide timely and accurate business information.
1.2 Develop reporting tools and dashboards within IMIS to improve efficiency and data in line with our business objectives. Setting up and amending IQAs as required.
1.3 Hold regular meetings with principal IMIS users to report issues and ensure the system is integrated across the functions in the most efficient way.
1.4 Work with function teams to identify where internal processes could be made more efficient using IMIS.
1.5 Identify and proactively develop improvements to the Member website experience.
1.6 Identify training for staff who are interested in specific areas of IMIS (Asi training portal).
1.7 . Being the main contact with the ASI technical support team, for issues that arise within IMIS.
1.8 Collaborating with ASI account managers and developers on future requirements or amendments to the IMIS system
2. Assist with ICT Projects
2.1. Attend Function and other staff meetings and participate in discussions on IT and EMS issues as required.
2.2. Monitor progress of development work within all Functions
2.3. Provide support and make recommendations as required.
3. Provide holiday cover to the IT Co-Ordinator
3.1. Assist with the efficient running of SELECT ICT systems.
3.2. Advise and assist staff on the resolution of IT issues.
3.3. Provide first line of support for staff and when appropriate, escalate issues to second line support (i.e. Capita).
3.4. Set up new email accounts and systems profiles when required.
3.5. Identify issues and in conjunction with the Director of Finance and IT to provide solutions.
3.6. Set up staff mobile devices and computer equipment when required.
4. To act always in accordance with the Staff's Shared Values and Customer Service Standards
4.1. Provide advice and support on the development of the EMS system to staff and Functions in accordance with SELECT's business plan.
4.2. Conduct regular tests to ensure that the EMS is operating satisfactorily.
4.3. Provide training and support Functions to create and edit EMS dashboards, forms, and reports as required.
4.4. Provide support for staff with IT issues in the absence of the IT Co-Ordinator.
Knowledge and skills
A working knowledge of SQL, query building, HTML, and Crystal Reports is beneficial. While direct access to the SQL database is no longer available due to the current configuration of the IMIS system, which primarily utilizes user-friendly "wizard"-based tools, familiarity with these technologies supports a better understanding of underlying system operations and reporting functions.
