organised and dependable Job Scheduler & Installation Coordinator

to join our Baldock team. You'll play a key part in planning and managing the day-to-day workload of our engineers, keeping projects and service appointments on track, and helping maintain our reputation for excellent customer care.

The Role



As

Job Scheduler & Installation Coordinator

, you'll be the central link between customers, engineers, and internal teams.

Your role is to ensure every installation or service visit is correctly planned, communicated, and completed efficiently. You'll coordinate daily schedules, prepare job documentation, handle customer updates, and ensure all paperwork and system data are accurate, from scheduling through to invoicing.

This position suits someone who enjoys multitasking, problem-solving, and supporting a busy operational team while maintaining exceptional attention to detail.

Key Responsibilities



Schedule installation jobs and reactive maintenance calls, allocating work efficiently to engineers. Support and manage service runs, including reminders, scheduling, and contract renewals. Liaise with engineers daily, handling changes, updates, and ensuring smooth communication. Check and organise job documentation, including risk assessments, job sheets, and photos. Prepare and label warranty returns for supplier processing, ensuring all parts and paperwork are handled correctly. Invoice jobs once complete, ensuring all details are correct before processing. Keep customers informed, confirming appointments, handling queries, and following up where needed. Provide excellent customer service, showing empathy and patience, particularly with vulnerable or elderly customers. Work closely with other departments, such as Parts and Admin, to ensure everything is ready ahead of each job. Use our CRM system (

JobWatch

) to manage jobs, update records, and reduce admin through automation and smart workflows.

What We're Looking For



Highly organised with strong attention to detail. Excellent communicator - confident on the phone and via email. Able to multitask and stay calm under pressure in a busy environment. Computer-savvy - comfortable with

Excel, Word

, and learning new systems. Friendly and empathetic, with a

customer-first attitude

. A team player who takes pride in getting the job done right.

Nice to Have (but not essential)



Experience in scheduling, coordination, or a trade-based service company. Familiarity with mobility equipment, lifts, or similar industries. Previous use of

JobWatch

or other CRM software. Experience with

Xero

or invoicing systems. Confident handling data and spreadsheets.
