Job Description

This is an office-based role in Wokingham, Berkshire.

You will be supported in this role, but also expected to take a real hands-on approach to deliver a high-quality service to our clients. You will work in partnership with a member of our Property Management team to look after a designated portfolio of properties. Accounts Management/Bookkeeping experience is preferred but not essential.

1. Process monthly Bank Statement

using Resident Property Management System to include:

Monthly reconciliation of Bank Statements Produce Aged Debtor Report for Property Manger & Directors of Management Company (quarterly or upon request) Produce Expenditure Report for Property Manager & Director of Management Company (quarterly or upon request) Provide Property Manager with Account Balances List at the beginning of each working week Transfer reserve funds in accordance with the Lease

2. To Demand using Resident Property Management System,

the following:



Service Charge Ground Rent (if applicable) Insurance (if applicable) Utility Bills (if applicable) Any other charges occurred during the management of the company

3. Process Debtors (late/non-payment of Charges) to include:



Contact with Debtor by email, letter or telephone To liaise with Brady Solicitors to progress with a debt collection

4. To make settlement of Supplier/Contractor Invoices within a 30-day period

by using Internet Banking (Bacs) once approved by Property Manager, to include:

To enter Supplier/Contractor Invoices onto Resident Property Management System To scan/save a copy of the Invoices under CPM date

5. To provide all the leaseholders with the Year End Statement



6. To prepare Year End Package

& provide Accountant with documentation required to produce a set of Accounts within 2 months of Property Year End, to include:

To chase Draft Accounts after 2 months from date of receipt Dealing with any surplus/deficit incurred within financial year by crediting or invoicing the leaseholders

7. Administration of CMM Iceberg Account & Ghosts Accounts to include:



Updating Bank Mandates Opening of New Bank Accounts Setting up Direct Debits or Standing Orders

8. Weekly meeting with Property Manager

to discuss ongoing maintenance works, reports required by Property Manager for Meetings, to discuss debtor control & management of Contractors/Invoicing.

9. Monthly meeting of Accounts Managers

to discuss Property Accounts under your management , which will include bank reconciliations, debtors, invoicing,& matters arising, to include:

Updating Dashboards on a monthly basis

10. To attend meetings with Directors of the Management Company as required



11. Answer the phone

(responsibility of all Staff Members)
