Legal Assistant (onboarding Team)

Job Description

To support the legal teams with all aspects of new matter onboarding and file opening, ensuring full compliance with internal procedures, regulatory standards (SRA / AML / GDPR), and client care protocols. The Legal Onboarding Assistant plays a key role in ensuring all new files are opened accurately, with required checks and documentation in place across multiple legal departments.

Key Responsibilities:



File Opening Support:

Assist with the opening of new client files across departments (Immigration, Conveyancing, Family, Litigation, etc.). Input client/matter details into the case management system accurately (e.g., LEAP). Allocate correct file codes, supervisors, and ensure relevant forms and documents are uploaded.

Compliance & Verification:

Conduct initial compliance checks for new files including ID verification, conflict checks, AML risk assessments, and KYC procedures. Ensure all necessary client documentation (retainer letters, terms of business, client care letters, etc.) is in place before a file is progressed. Flag missing or non-compliant documents to the supervisor or fee earner.

Coordination & Support:

Liaise with fee earners and heads of departments to ensure timely completion of onboarding checklists. Maintain internal records to track the onboarding status of each new file. Work closely with HR and IT to ensure new legal staff are supported with training on onboarding procedures.

Process Improvement & Administration:

Assist with the maintenance of onboarding templates and compliance checklists. Help implement and monitor internal procedures relating to file opening, in accordance with SRA and firm policies. Attend relevant compliance or system training sessions to stay up to date with regulatory requirements.

General Duties:

Ensure confidentiality, accuracy, and professionalism in all onboarding work. Assist other departments with administrative or compliance-related tasks as reasonably required.

Skills & Experience Required:



Prior experience in a legal assistant, compliance, or admin support role (ideally in a law firm). Understanding of legal regulatory requirements (SRA Code of Conduct, AML, GDPR, etc.) preferred. Strong organisational skills with excellent attention to detail. Good communication and coordination skills across multiple departments. Proficient in Microsoft Office (Word, Excel, Outlook) and case management systems (e.g., LEAP). Ability to manage multiple onboarding tasks and work within deadlines.

Pay: 24,420.00-30,000.00 per year
