Job Description

Barker Gotelee LLP is currently seeking an experienced and highly organised secretary to join our Residential Property Team, providing comprehensive secretarial and administrative assistance to a Partner and other fee-earners within the team. This is a full time role, however consideration will be given to applicants who can work a minimum of 28 hours per week.

Demonstrating initiative and strong organisational skills, the successful candidate will thrive in managing multiple responsibilities within a fast-paced environment. You will have excellent verbal and written communication skills as well as being confident in managing a full caseload, often working to tight deadlines.

Key tasks and responsibilities



- Prepare correspondence and documents through audio typing and the firm's case management system.
- Administer filing which will include daily filing and the opening, closing, storage and retrieval of client files in accordance with the detailed procedures contained in the firm's office manual.
- Prepare mail and enclosures for dispatch.
- Arrange for all copying to be done, in person, if necessary, if the office assistant is unable to undertake the task.
- Make appointments, arrange meetings and maintain and up-to-date dairy for fee-earner(s).
- Ensure that conference rooms are book through reception for meeting as necessary.
- Provide support to other secretaries and fee earners as required.
- Provide guidance to junior and temporary secretaries when required to do so.
- Attend to clients' needs, both in person and on the telephone, and provide such support as may be necessary in a professional and friendly manner, in keeping with the firm's standards for client care.
- Undertake any mandatory training required for the role, and overall, to have the positive attitude towards self-development.
- Ensure the confidentiality of all the firm's files and client's documentation and information.
- Undertake any other tasks which are consistent with the level and scope of the role, as may be reasonably requested by the firm.

Skills/Experience



Applicants should have:
- Previous experience working within a residential property team.
- Exceptional organisational skills and the ability to handle multiple tasks simultaneously.
- Excellent verbal and written communication skills, with the ability to interact professionally with clients and colleagues.
- Strong attention to detail, with the ability to prepare accurate and compliant legal documents.
- Ability to handle confidential information with discretion.
- Excellent client care skills.
- High levels of confidentiality.
- The ability to be proactive and use their own initiative.
- Excellent team working and interpersonal skills.
- Proficiency in Microsoft Office Suite and legal software (e.g. Clio, LexisNexis).
