What We Do
We provide a fully client-based, serviced approach to property investment. Our model involves acquiring properties from the open market, renovating them to a set standard, passing them to our lettings department for management, and reselling them to investors.
All functions are carried out in-house -- from Property Surveying and Renovations to Lettings, Legal, and Sales & Marketing.

The Role
1. Lead Management & Allocation
Receive and process all new lettings enquiries from portals (Rightmove, Zoopla, OnTheMarket), website, email, and phone.
Log and organise leads in the CRM or lettings system.
Allocate leads to the correct negotiator or branch based on location/property type.
Ensure urgent/hot leads are highlighted for immediate action.

. Lead Qualification
Contact tenants to confirm:
Budget
Move-in date
Employment/income
Number of occupants
Type of tenancy required
Check property suitability and match tenants to available properties.
Filter out non-serious or unsuitable leads to save negotiators' time.
3. Customer Communication
Respond quickly to all enquiries with accurate property information.
Book viewing appointments where applicable.
Provide updates to applicants, ensuring high customer satisfaction.
Handle follow-up messages and reminders.
4. CRM & Data Management
Maintain an organised database of all enquiries and applicant details.
Update lead status (new, contacted, qualified, viewing booked, closed).
Ensure all communication is recorded in the system.
Keep property adverts updated with correct information and availability.
5. Support to Lettings Team
Prepare daily lead and viewing schedules for negotiators.
Provide insights on lead quality and enquiry trends.
Assist with referencing documentation if needed.
Coordinate between property managers, landlords, and negotiators.
6. Reporting & KPI Monitoring
Track:
Lead volume per property
Enquiry-to-viewing conversion
Viewing-to-tenancy conversion
Lead response time
Produce weekly summary reports for management.
Skills & Competencies Required
Strong communication skills (phone, email, messaging).
Excellent organisation and attention to detail.
Ability to multitask and work in a fast-paced lettings environment.
Good understanding of the lettings process.
Experience using CRM or lettings software.
Professional and customer-focused.
Fast response time and ability to prioritise urgent enquiries.
