Overview:
We are seeking 2 dedicated Medical Administrators to join our friendly team. The ideal candidates will play a key role in ensuring the smooth running of the practice. Experience is preferred but is not essential.
Both posts 25 hours per week:
Post 1:
Monday 8am - 1pm
Tuesday 1pm - 6pm
Wednesday 1pm - 6pm
Thursday 8am - 1pm
Friday 8am - 1pm
Post 2:
Monday 1pm - 6pm
Tuesday 8am - 1pm
Wednesday 8am - 1pm
Thursday 8am - 1pm
Friday 1pm - 6pm
Candidate must be fully flexible and able to swap shifts/provide cover in times of staff shortages.
Main Purpose of Role
To provide a point of contact for patients and act as a focal point of communication between patients, doctors and other members of the primary healthcare team.
To ensure enquiries are promptly, efficiently and courteously handled
To provide an efficient administration service to all stakeholders
General
To work within the guidelines and policies of the practice
To ensure Health & Safety policies are adhered to and to report any Health & Safety concerns to Practice Manager or GP Partner
To be conversant with the practice fire regulations
To work closely with the wider practice team to ensure the smooth running of the practice, reporting any problems encountered to the appropriate person
To participate in induction and training where appropriate
To attend practice meetings (which may fall outside core working hours) as requested by the Practice Manager or GP Partners.
Principal Duties
Welcome patients and visitors to the building and respond to queries
Ensure patients are arrived on the clinical system
Book appointments with appropriate clinician, recording relevant information in the medical record as appropriate
Undertake triage of appointment requests to ensure urgent requests are dealt with appropriately
Answer incoming telephone calls and respond to queries efficiently
Act as an information point, directing patients to other services as appropriate
Check and accept paperwork from prospective patients, ensuring ID requirements are fulfilled
Undertake all duties in line with data protection policies
Register temporary patients on the clinical system
Advise patients of relevant charges for private services and accept payments accordingly
Ensure the reception and waiting areas are kept neat and tidy
Open and distribute incoming mail and emails to clinical mailbox
New patient registrations, processing & registration of new patients onto clinical system
Repeat Prescribing
Answer the dedicated repeat prescription phone line and deal with prescription requests and queries appropriately.
Investigate and respond to prescription queries from patients and pharmacies
Log all prescriptions being sent to local pharmacies in line with practice policy
Start and End of Day Procedures
Open up premises at start of day - deactivate alarm, turn on lights, computers, open phone lines at 8am
Secure premises at end of day - ensure building is completely secured, internal lights off and alarm system armed prior to exit
Any Other Relevant Duties
The post holder will undertake any other delegated duties considered appropriate to the post
The post holder is responsible to Practice Manager, Assistant Practice Manager and GP Partners
Qualifications
Proven office experience in a medical or administrative setting
Strong administrative skills with attention to detail
Excellent organizational and time management abilities
Proficient in using office software and medical management systems
Ability to maintain confidentiality and handle sensitive information
Strong communication and interpersonal skills to interact with patients and staff
Job Types: Part-time, Permanent
Pay: 13.04 per hour
