Job Description

Earl's Court Medical Centre has an exciting opportunity for an experienced Medical Administrator to join our welcoming and forward thinking team on a full-time basis.

Your normal pattern of working will be Monday - Friday, 9am - 5:30pm.

Interested applicants must have primary care and SystmOne experience. The Medical Administrator will be responsible for the efficient coordination of administrative functions within the practice including the use of System One, meeting practice targets, and optimising practice performance. This role will involve managing the day to day operations to ensure smooth clinical service delivery and high-quality patient care.

Our multidisciplinary team includes experienced GPs, Clinical Pharmacists, Practice Nurses, HCA and social prescribers, all supported by a skilled administrative and care navigation team. Key Responsibilities



1. System One Management:



Proficiently use the System One clinical software for managing patient records, appointments, and clinical data.

Ensure patient information is accurately entered and maintained, adhering to data protection regulations(GDPR).

Provide Support to clinical staff in navigating and troubleshooting System One.

2. Target Coordination:



Track and monitor practice performance against KPIs. including clinical targets and patient satisfaction metrics.

Coordinate with healthcare providers and staff to achieve QOF and other national/local health targets.

Generate and analyse reports from System One to inform practice strategy and performance improvements.

3. Administrative Duties:



Manage patient appointments, referrals, and follow-ups efficiently using System One and other systems.

Handle general administrative task such as filing, scanning, and processing medical correspondence.

Provide front-desk support as needed, including answering patient queries and scheduling appointments.

Assist with the processing and completion of non-NHS (private) reports.

Process incoming and outgoing patient registrations via SystmOne Links.

4. Performance Optimization



Implement processes to streamline practice workflows, and improving patient flow.

Work closely with Practice Manager to monitor and improve operational efficiency within the practice.

Assist with the development and execution of action plans to meet patient care and administrative goals.

5. Communication & Liaison



Act as a liaison between medical staff, administrative staff, and patients to ensure effective communication and coordination

Coordinate meetings, training sessions, and team briefings to support staff development and communication.

Engage with external partners, such as hospitals, other GP practices, healthcare providers, to facilitate patient care pathways.

Ensure adherence to all relevance legislation, including GDPR, CQC standards, health and safety regulations

Regularly review and update all practice protocols, policies, and procedures to ensure regulatory compliance.

7. Support Practice Financials



Assist with the monitoring of practice budgets, particularly around the use of resources for meeting clinical targets .

work with the Practice Manager to maximize income from QOF and other incentive schemes.

Qualifications and Experience

Essential



Proven Experience in Medical Administration Role

Proficient with System One

Strong Understanding of NHS Targets (QOF, Enhanced Services etc. ) and practice performance metrics

Excellent Organisation and multitasking skills with ability to work under pressure

Strong Communication Skills, both written and verbal

Good IT skills, including the use of MS (Word, Excel) and Accurx

Desirable



Undergraduate University Education or Equivalent

Experience in coordinating practice performance targets or similar performance driven environment

Previous experience working within General Practice or similar healthcare setting

Knowledge of Data protection regulations (GDPR) and medical confidentiality
