Job Description

We have an opportunity to join our fast paced dynamic Temporary staffing service. The successful applicant will provide an efficient service to the Medical Bank Office, ensuring that all enquiries and booking requests are processed in a timely and efficient manner.



The post holder will provide guidance and support to all temporary staff employed through Wye Valley Medical Bank and external agencies



The post holder will be responsible for booking of medical temporary staff including all grades and specialities to ensure that all shifts and staff booking information is entered accurately and timely into the data base.



To work as part of a team ensuring shifts are processed efficiently and within the given timescales and criteria.



Answer all telephone enquiries, taking and relaying messages in a polite and helpful manner, taking action as appropriate.



To liaise with all other external agencies as per departmental procedure and policy



To have full understanding of Trust agency agreements and the process required regarding the different levels of authorisation required for bank and agency bookings



Ensure that the medical bank staff bookings adhere to the departmental booking process



To provide departments with relevant information as required.



To deal with incoming mail.



To verify and process medical bank time sheets on a daily basis, by checking time sheet information and confirming accuracy using the systems/database.



To ensure locum/temporary medical staff are booked within agreed guidelines.



To undertake pre-employment checks at the point of booking for all agency locum bookings (GMC and HPAN checks)



To liaise with the Trusts temporary staffing partners and support the clinical teams to screen CVs and confirm/amend bookings as required. To ensure all new starters have a local induction which includes the correct allocation of IT system access



Ensure correct approvals in place (CV approval, rate approvals and schedule approvals)



Liaise with locum agencies, GM's, rota teams, execs regarding gaps and cost control



Maintain accurate finance records by populating and maintaining various spreadsheets



Produce weekly reports on spending



Follow DE model and work with a variety of stakeholders to ensure KPI's and deadlines are adhered to



Follow and apply trust policies within Temporary Staffing and medical bank bookings



Identify and isolate booking issues and propose and implement changes



Attend handovers and staffing meetings across the Trust



Organise meetings with the rota teams/GM's/admin leads to discuss bank and agency spent and how this can be reduced



Liaise with medical workforce agencies to try and source adequate cover while complying with employment law/trust policies and DE model and ensure that costs are being kept under control
