Job Summary: Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way.Provide general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone
Job Responsibilities:
Reception
Ensure an effective and efficient reception service is provided to patients and any other visitors to the practice
Receiving patients consulting with members of practice team
Handing completed repeat prescriptions to patient and checking names and address.
Cover all reception duties/tasks as necessary.
Appointments
Process appointment requests from patients via Ask My GP digital triage system, by telephone and in person.
Deal with requests for home visits, ensuring careful recording of all relevant details and where necessary refer to on-call doctor
Deal with visit requests
Deal with general enquiries, explain procedures.
Using your own judgement and communication skills ensure that patients with no prior appointment but who need urgent consultation are seen in a logical and non-disruptive manner

Data input/quality
Registrations of new patients -data entry and medical records.
Process patients change of address Process repeat prescription request in accordance with practice guidelines
Ensure all scanned data is attached to the correct patient.
Telephone
Have working knowledge of telephone system, during and after hours

Ensure answering system is switched on at the end of the day
Deal with ambulance requests
Receive and make calls as required. Divert calls and take messages, ensuring accuracy of detail and prompt appropriate delivery
Administration
To have a thorough knowledge of all Practice procedures.
To work in accordance of written protocols/policies
Accurate completion and filing of records
Explain practice arrangements and formal requirements to new patients and those seeking temporary cover and ensure procedures are completed
Follow tasks through to completion, ensure all work completed during your shift, and/or pass on unresolved queries to other member of staff.
Advise patients of relevant charges for private fees and issue receipts for same
Deal with postage and petty cash
Ensure that stock and supplies are replaced
Shred all correspondence that is not required ensuring scanning completed successfully
Other Tasks
Assist doctors if required, and
Ensure building security - have thorough knowledge of doors/windows/alarm system
Ensure the waiting room is kept tidy
Any other tasks allocated by managers/doctors
Attend and participate in practice and staff meetings
