Medical Receptionist / Administrative Assistant



RESPONSIBLE TO : Reception Team Leader

JOB PURPOSE : To provide an effective reception and administration to both members of the public and the members of the Practice.

Main duties and responsibilities.

1. To receive patients at the reception desk and deal with queries. To use a computerised records system to make appointments, book patients in, explain procedures and keep patients informed of any doctors waiting times.

2. To answer general enquiries in person and on the telephone in a courteous, friendly and professional manner. Taking registration details from new patients and explaining surgery procedures. Dealing with temporary resident and immediately necessary patients, making new and follow up appointments, and receiving requests for repeat prescriptions.

3. To process simple repeat prescription requests, in the absence of the Prescriptions Clerk, on an ad hoc basis if required

4. To make sure that all relevant fees are paid promptly via card, and receipts are issued

5. To open the Surgery in the morning and / or secure in the evening, as required.

6. To open both internal and external post.

7. Extracting and filing medical records when required.

8. Preparing path lab samples and internal post for collection from reception and giving results of tests to patients on request once authorised by the doctors to do so.

9. Receiving, recording and allocating any requests for home visits.

10. Accurately receiving and recording messages for any member of the PHCT.

11. To deal with transport bookings, registrations, repeat prescriptions, change of addresses, scanning of letters etc and any other computerised input as necessary.

12. To make tea / coffee for the doctors and shopping for these items when necessary.

13. To undertake general office duties when required including, but not limited to, photocopying, filing, scanning, summarising new patient notes and maintaining stationery supplies.

14. To help keep the reception, kitchen and waiting areas clean and tidy during surgery hours to ensure a welcoming atmosphere for patients.

15. To maintain strict confidentiality in all matters relating to patients, their records and any Practice issues.

16. To follow Practice procedures for complaints, fire, health and safety etc.

17. To carry out any other appropriate duties and to undertake any training as required by the Practice Manager.

PERSON SPECIFICATION



The successful candidate will enjoy working as part of a team in a busy but friendly environment and will be able to work under pressure. The ability to respond to change is an advantage in the rapidly changing world of primary health care.
A good basic standard of education is necessary. Common sense and an ability to deal with members of the public in a polite and sympathetic manner are essential.
Ability to remain confidential at all times and deal with sensitive and confidential information professionally.
Basic experience of Microsoft Word is essential; experience of other Microsoft Office packages is desirable.
Experience on EMIS Web desirable, though full training will be given.
To be able to maintain a professional and mature approach to all aspects of work, and to use own initiative in dealing with issues.
The ability to work within a multi-disciplinary team.
Willingness to attend any training courses as deemed necessary for the job.
Most staff are part-time and the ability to be flexible over working hours and to work additional hours is essential in order to cover holidays, sickness and the long working day of the practice. This is a contractual requirement of the post

The surgery's normal opening hours are Monday to Friday 8am to 6:30pm. The post-holder would need to be able to commit to these start and finish times and the shifts can be half day or full days

The post holder is also required to cover the Monday evening surgery from 6:30pm to 8:00pm on a rota basis with other staff. (Approximately 1 week in 12)

The ability to be flexible to cover extra hours (including early opening from 7:30 am) within the team is essential.

Additional hours worked to cover holidays, etc. are paid at basic rate of pay

The leave entitlement is 33 days on a pro-rata basis, including bank holidays

Starting salary is dependent upon experience, but is likely to be in the range 12.21 per hour

You have an opportunity to join the NHS pension scheme for practice staff

Salaries are paid monthly on the 28th of each month
